COMMERCIAL TEAM ADMINISTRATOR - CITY OF LONDON GKR International has been exclusively retained to lead the search for a Commercial Team Administrator. Our client is a reputable private property company with a portfolio of commercial properties across Central London. They are looking for an Administrator with commercial real estate experience to join their close-knit team at their offices in the City of London. As a Commercial Team Administrator you will be working closely in a team of three supporting two Directors with the day-to-day commercial property administration, some PA duties, and assisting with the smooth running of the office. Contract : Full Time | Permanent Salary : £45,000 - £50,000 per annum Location : At their offices in the City of London. Start Date : May - June 2024. Must be available to interview the last week of March/ first week of April. Key responsibilities:
- Dealing with tenant enquiries and liaising with our facilities manager and contractors
- Maintaining property databases
- Raising tenant invoices
- Approving invoices and liaising with accounts
- Chasing arrears
- Coordinate site visits and access for contractors
- Look after service charge account queries and lease enquiries
- Overseeing Health & Safety compliance
- Monitoring tenant starting & leaving site procedures.
- Personal Assistant support to both directors – managing diaries, booking appointments, arranging travel, and preparing agendas for meetings and reports.
- Managing the concierge team, including wages, work schedules & holidays.
- Managing cleaners & ordering cleaning supplies across the portfolio
- Replenishing office stationery and supplies.
- Liaising with IT and phone suppliers.
- Answering the phone and taking messages.
- 5 years + of experience working in a similar administrative role within commercial real estate.
- Excellent administrative skills.
- Excellent communication skills - both written and verbal.
- Be able to Demonstrate a track record of being highly organised and able to work autonomously.
- Proficient in MS Office including excel, word and Outlook
- Professional manner when dealing with tenants
- Friendly, welcoming and approachable
- Excellent attention to detail and able to multi-task.
- Helpful, flexible and proactive.
- IT literate.
