JOB STATEMENT:Guardian Capital Group Limited ("Guardian") is a diversified, global financial services company with expertise in Investment Management and Wealth Management. With over $50 billion in assets under management and administration, Guardian is headquartered in Toronto with offices in Canada, the Caribbean, the UK and the US and a growing number of clients around the globe.We are looking for a dynamic person to act as the Executive Assistant to our President & CEO at our head office in downtown Toronto by providing administrative and strategic support. This role will be a true partner in the business and involve extensive organizing, coordinating, planning, and collaborating. The successful candidate will be a forward-thinking team player with a high degree of professionalism, confidentiality, discretion, and judgment. A keen eye for detail with a service-oriented attitude is also essential.ESSENTIAL FUNCTIONS:Actively anticipate needs, manage time effectively, and take a proactive stance on the competing responsibilities.Handle sensitive/confidential information while minimizing risk; monitor incoming communications, including emails and phone calls.Manage meetings, including scheduling, preparing agendas, travel, arranging catering, taking minutes and documenting action items for senior leadership; assist in coordinating Board meetings.Interact and collaborate regularly, as a critical function, with senior leadership and with cross-functional business units to accomplish administrative or operational tasks.Build and maintain productive relationships with internal and external stakeholders.Working independently, develop communications, correspondence, and presentations; complete document drafting, including charts, graphs, tables and text slides, ensuring formatting consistency and accuracy on time-sensitive, complex, and high-profile documents.Perform backup function for other Administrative Assistants during absences to ensure that administrative support is provided on an ongoing basis.Respond to related inquiries or escalate for resolution as appropriate and help complete priority items for the senior leadership team with a high level of quality.Manage and maintain documents and records accordingly (e.g. electronic files, backup, task reminders/diary), ensuring data/documentation integrity and ease of reference and retrieval as required.All other duties and responsibilities, as required.QUALIFICATIONS:Post-secondary educationMinimum of 10 years of experience in an Executive Assistant roleProfessional attitude and customer-centricHigh level of discretion and confidentiality and capacity to handle extremely sensitive informationExcellent and top-notch skills and experience in the entire MS Office SuiteExcellent organizational and time-management skillsAbility to work independently, manage multiple tasks and projects and meet deadlinesFamiliarity with audiovisual equipment for presentationsCritical thinking skills and initiative to consistently deliver quality workExcellent analytical and problem-solving skillsStrong communication and organizational skillsPrevious financial services experience preferredCOMPENSATION:Commensurate with experienceGuardian is committed to accessibility in employment and to ensuring equal access to employment opportunities for candidates, including persons with disabilities.
