Document Control Manager Company Summary: CAD Railway Industries Ltd was founded in 1968 and is headquartered in Montreal. CAD Railway has other facilities in Calgary, Lethbridge (under Caltrax banner) and has recently been selected by the ONxpress Transportation Partners association to provide all legacy fleet maintenance services for the Metrolinx rail fleet of approximately 1000 bi-level coaches and 90 locomotives. CAD Railway's delivery team will operate and maintain Metrolinx's rail maintenance facilities in Etobicoke and Whitby, as well as in multiple overnight along with mid-day light servicing facilities located across the Metrolinx train service area.Summary of the role: The Document Control Manager will be responsible for managing all aspects of the document control administration for Metrolinx's Legacy Fleet Maintenance operations.This individual will collaborate with the management team, customers, suppliers, partners and involved stakeholders.Reporting to the Quality Assurance/Quality Control/Customer Experience Manager will oversee all document and record control operations, policies and procedures for the secure management and access of company information assets.Core Accountabilities: Manages and oversees the administration of the project's document management process including archivingResponsible for establishing a procedural framework for the collection of the controlled documents, including developing and/or enhancing document controls and tools, managing, and enforcing the collection, distribution and filing of controlled documentsEstablish security protocols for the access, storage, backup, maintenance, protection, and disposition of all documents. Ensures document integrity, quality, and version controlWrite and maintain document control procedures and participate in the development and rollout of document control toolsEnsure the management control system is implemented in compliance with all business standardsManage documents in Aconex and review/verify the accuracy of dataManage official transmission to and from the customer relating to controlled documentation including such information from the Document Control SpecialistsManage all standard documents and ensure ISO9001 complianceEnsure the proper coordination and distribution of all control documents and internal communicationOversee internal document control requests and ensure documents are retrieved from the database in a timely mannerEnsure documentation control principles are respected by all members of the businessAbility to develop KPIs and present dataPrepare senior management relating any potential complicationsWork with the team to prepare and create recurrent reports that are requested by operations or higherComply with the company's applicable policies and procedures as well as human resources guidelinesEnsure the SharePoint Filing framework is organized and follows and logical process aligned with project deliverables and records.Management of project schedule to monitor and track deliverables Qualifications: Ability to build a strong rapport with the team and unionized maintenance personnel5 to 7 years experience in Document Control and/or a related field. Rail locomotive and passenger coach experience and knowledge is an assetPrior experience managing a teamExperience with ISO9001 complianceExperience working with Aconex and document control softwareDiploma or degree in a related field such as archive studies, library sciences, project management, or business administration.
