The purpose of the Association is to facilitate, support and promote the development of institutional and individual capabilities in research and innovation management, as well as professionalise these disciplines for the benefit of stakeholders in Southern Africa, and beyond.SARIMA requires the services of a full-time Operations Manager to manage the operations function within the organisation in terms of the job scope outlined below. The SARIMA office is limited to core operational and project staff members, that are primarily based in South Africa. The broader organisation is virtual, with the volunteer SARIMA Committee and SARIMA members based across South Africa and the rest of the SADC region. The Operations Manager will report to the General Manager of SARIMA, but functions need to be performed in conjunction with the Operations and Projects Team, the SARIMA committee, Board of Directors and a range of stakeholders. The Operations Manager may not serve SARIMA in any other capacity (such as a Committee Member).  Job Scope The Operations Manager is responsible for managing the day-to-day operations of the organisation, planning, supervising, and coordinating efforts across key functional areas to ensure that the organisation runs smoothly. This position also ensures that operational policies, processes and systems are continuously improved upon (or developed where needed) so that the organisation is geared to deliver on its mandate in a cost-effective and efficient manner, as well as supports the organisation's marketing and communication efforts to increase its visibility and strengthen its brand amongst members, funders and stakeholders. The role may also include short periods of travel from time to time within South Africa and the SADC region, typically with up to three nights spent away.The incumbent's key responsibilities include:1. Operational Planning, Reporting and ManagementManage and mentor staff within the Operations Team. The incumbent will manage the following staff positions: Office Manager, Digital Communications Officer, Monitoring, Evaluation, Reporting and Learning Officer, Training Co-ordinator and the Project Administrator.Continuously monitor the organisation's human resource needs and direct resources, as agreed with the General Manager, to areas where required.Set annual operational targets in line with the organisation's strategic plan and regularly monitor and report on performance.Work closely with the Finance Manager and General Manager to produce the annual operational budget and plan.Work closely with staff, the Finance Manager and General Manager to produce accurate monthly management accounts and forecasts for operations as well as provide statistics for membership, marketing efforts, etc.Improve and maintain the organisation's operational policies and systems and develop new ones, where required.Jointly lead process improvement initiatives; provide staff training and monitor staff adherence to all operational policies and processes.Provide reports on operational matters for SARIMA committee meetings, Biennial General Meetings, and organisational publications.Ensure that the organisation and staff are POPIA compliant.Support the development of revenue and business models for existing service offerings.Together with the General Manager, identify ways in which to maintain an organisational culture which attracts, retains, and motivates staff and encourages teamwork.2. Office Management and AdministrationWith the assistance of the Office Manager the Incumbent will:Ensure that the organisation's physical office, furniture and equipment are maintained and the office adequately meets the needs of staff.Implement health and safety protocols as deemed necessary.Provide induction/support to new staff and committee members on operational policies and processes.Ensure adequate provision of technical, logistical and administrative support for the coordination of all of the organisation's events, including courses and webinars.Ensure the organisation's digital Repository and file plan is maintained and adhered to by all staff.Establish sound working relationships with SARIMA's key service providers, prepare service level contracts and handle negotiations, where necessary.3. Membership and TrainingWith the assistance the Office Manager and Training Coordinator, the Incumbent will:Review all financial reconciliations related to SARIMA courses and membership, ensuring that all income received have been allocated correctly and all outstanding debtors have been brought to the attention of the Finance Manager.Work closely with the SARIMA portfolios and staff to ensure that the annual training calendar is prepared and published timeously.Identify ways in which to package and market SARIMA's historical courses as a potential revenue stream for the organisation.Ensure that courses are co-ordinated and marketed timeously.Oversee new membership or renewal processes and management of SARIMA's membership register.Identify ways in which to increase and retain SARIMA's members in the SADC region.4. Marketing, Communications and ICTWith the assistance of the Digital Communications and MERL Officers', the Incumbent will:Support the development of the organisation's brand management plan and ensure a fresh, consistent look and feel across all of SARIMA's marketing and communication platforms.Oversee management of all ICT and digital media platforms.Ensure that an annual social media/web communication plan is developed, implemented and monitored to increase SARIMA's visibility.Assist with sourcing and developing content for the e-newsletters that are published quarterly.Ensure content on the organisational website is updated and back-up system maintained.Oversee management of existing digital solutions and proactively identify new, cost-effective solutions to streamline processes.Ensure staff have adequate IT support as needed.From time to time, the Operations Manager may need to undertake other duties as required within the broad scope of the role defined above and SARIMA aims and objectives, as well as work outside normal working hours where necessary to ensure that deadlines are met. REQUIREMENTS Qualifications, Experience and KnowledgeMinimum degree in Operations or Business Management or similar.Demonstrable experience (5+ years) managing operations or organisational development preferably in the South African non-profit sector.Demonstrable experience in leading and implementing changes (policies, processes, systems) to enhance the effectiveness and efficiency of operations (including marketing and communications) within an organisation.Demonstrable experience in leading and mentoring teams, effective stakeholder relationships, budget development and strategic planning.Proficient in the use of Microsoft Office applications; database management systems and IT management, a plus. Desired Skills and AttributesSuperior attention to detail and excellent organisational and time-management skills with the ability to prioritize, multi-task and work independently as well as collaboratively as a member of a team.Strong judgement, analytic reasoning, negotiation, strategic thinking and problem-solving skills.Is diplomatic and able to motivate people, has strong work ethic and integrity, with an ability to handle sensitive information effectively and confidentially.Ability to interact effectively and maintain positive working relationships with suppliers, the Committee, funders and staff.Has professional and emotional maturity that demonstrates warmth, dependability, responsiveness, initiative, flexibility, knowledge and credibility.Flexible and adaptive work style with the ability to thrive in a growing, dynamic, virtual environment.Excellent written and verbal English communication skills with the ability to communicate diplomatically in a diverse, multi-cultural environment. Ability to communicate in Portuguese and/or French would be advantageous.
