Job Summary: The Executive Assistant for Top Management is a responsible for providing comprehensive administrative, personal and secretarial support to the C-suites of the organization. This position requires exceptional organizational skills, attention to detail, discretion, and the ability to handle a wide range of administrative and executive support tasks. Key Responsibilities:
- Provide high-level administrative support to the top management, including managing their calendar, scheduling meetings, arranging travel, and preparing necessary documentation.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls. Prioritize and respond to inquiries promptly and professionally.
- Coordinate and schedule meetings, conferences, and appointments.
- Maintain a high level of confidentiality and handle sensitive information with discretion. Handle confidential documents and correspondence with professionalism and integrity.
- Travel and Logistics: Arrange travel itineraries, accommodations, and transportation for the top managements and other executives as required. Handle visa applications, expense reports, and reimbursements.
- Build and maintain positive relationships with internal and external stakeholders. Serve as a point of contact between the Top managments and other team members, clients, and partners.
- Provide team admninstrative support, such as expense claim, team events, couriers
- Provide family and person support to Head of Asia (including kids's arrangement and household management)
- Proven experience as an executive secretary, personal assistant, or similar role supporting C-level executives.
- Excellent organizational and multitasking abilities, with a strong attention to detail.
- Exceptional written and verbal communication skills, including professional phone etiquette.
- Proficiency in using office productivity software (e.g., Microsoft Office Suite, calendar management tools).
- Strong interpersonal skills and the ability to interact confidently with individuals at all levels.
- Discretion and the ability to handle confidential information with sensitivity.
- Proactive and resourceful approach to problem-solving.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Flexibility to adapt to changing priorities and handle unexpected situations.
- Bachelor's degree in business administration or a related field (preferred).
