Job Summary Job Title: Reservations and Events Coordinator Reporting to: General Manager Job Overview: The Reservations and Events Coordinator will supervise and control all Front of House, reservations, and functions/events procedures to the standards laid down by the Company, maximizing revenues and profits to agreed budgetary limits. Your Duties and Responsibilities: You will present an appropriate image for the organization and deal competently with the people and problems encountered. You will be required to work outside normal hours, including weekends and evenings. You will carry out reception duties on A.M. and P.M. shifts. You will carry out or ensure that regular On-the-Job training is taking place to agreed standards. You will ensure effective liaison between reservations and front office staff with other departments, establishing a close relationship with housekeeping. You will ensure accurate and timely submission of all reports and administrative work. You will ensure that check-in procedures are strictly adhered to and that the correct address and charge-out details are obtained from each guest on arrival. You will ensure that cash-ups are performed, and accounts are balanced daily. You will manage the guest ledger. You will provide accurate daily turnover reports and email them out by 9 AM Monday - Friday. You will ensure that credit control procedures are strictly adhered to, that no bills exceed the stipulated limit without prior approval, and that written confirmation, purchase orders, or order numbers are on file. You will ensure that all charges are correctly entered on the guest's bill and that this is always up to date. You will ensure that online rates and website rates are correct and updated accordingly. You will ensure that incoming and outgoing telephone calls are handled promptly and courteously. You will ensure effective and speedy check-out facilities. You will ensure that reservations are taken correctly and courteously. You will control and be aware of the Room Status to ensure maximum room sales on a daily, weekly, and monthly basis. You will ensure that guests are greeted, checked in, and allocated rooms promptly and courteously. You will greet guests and telephone callers and find out the nature of their inquiry in keeping with Company Customer Service Standards. You will operate telephone switchboards and connect, hold, transfer, and disconnect telephone calls. You will provide information to assist guests or refer them to appropriate contacts, either in the organization or elsewhere. You will carry out word processing, filing, mail-outs, bookkeeping, and banking as required: on some occasions, receptionists send out accounts, receive payments, and order stationery and office supplies. You will process all incoming mail and organize outgoing and posting mail. You will give information on facilities available and advise visitors about places of interest. You will ensure all bills are correct and paid in full on check-out. If working in the Spa/Leisure Centre, you will organize bookings, deal with changes in schedules, present accounts after treatment, and handle money. You will assist in the promotion of products and give prices and details to customers. You will ensure that a full handover is given to the next shift. You will carry out any other reasonable duties as requested by the Hotel Management. Knowledge, Skills, and Abilities: Good communication skills. Ability to work accurately and neatly. Reservations experience Computer literate Admin / clerical / secretarial
