About the role:We are searching for an enthusiastic Office Manager with a "can-do" attitude to manage our office operations, maintain a positive and healthy working environment, and to support a range of administrative tasks. As a member of our People Success team, you will be employee facing and you'll have the opportunity to make an impact on employee experience and culture building activities. You will also be required to work in the office, however there will be some flexibility to work remotely as needed.What you'll do:Office Management Manage facilities day-to-day activities to ensure the smooth running of the office.Be the face of Financeit, greet all employees and visitors to the office, and work with Reception to manage all deliveries and shipments.Performing managerial administrative duties including vendor invoice submissions to Finance, ensuring inventory is up to date, ordering office supplies, as well as weekly snacks and catering as required.Perform general administrative duties including arranging couriers, photocopying, and delivering departmental mail; maintaining departmental office supplies and equipment, ordering office supplies; and calendar management.Ensure kitchenettes, workstations and meeting rooms are in working condition.Manage office management tool (Eden) for daily operations and seat booking. Implement updates as needed, and be responsible for reporting from the tool.Coordinate and lead logistical changes to the office.Manage and maintain Access Control system records up to date, remove and add access to it as required.Assist with employees onboarding and offboarding, such as shipping/collecting equipment, swags and taking part in orientations and check-ins.Manage relationships with external vendors and complete vendor management yearly compliance requirements.Maintaining the office condition and work with building management on office maintenance & repairs. Responsible for updating employees in a timely manner when office conditions may have an impact.Work with the Health & Safety committee to ensure office is compliant to Health & Safety guidelines.Employee ExperienceOrganize and manage team lunches at the office.Assist the Events Manager with larger company events such as the Holiday Party, Cinq-a-Septs and milestone events.Coordinate and manage employee engagement activities including swag management, events celebrating FIT kids, and other employee experience activities.Be an active member of the Employee Engagement Committee and assist with culture building activities.Assist with office related team offsites - ie. set up in the office, booking meeting rooms, ordering lunch.What you'll need to succeed:3+ years of experience in Office Management, Executive Assistant or Administrative Assistant experienceAvailability to work from the office on Spadina Avenue dailyHighly organized with a strong ability to multitaskApproachable, welcoming, and friendly personalityStrong written and verbal communication skillsProficient in Microsoft Office programsCan do attitude and willingness to take initiativeStrong attention to detail and excellent 'thinks-ahead' problem solving skillsBenefits:Winner of Canada's Most Admired Corporate Culture in 2018 and 2021, we offer more than just the basics.
