1. JOB PURPOSEAdministrative Assistants are responsible for performing variety of administrative & clerical tasks. Most administrative assistant duties revolve around managing and distributing information within an office This generally includes answering phones, taking memos, and maintaining files. Administrative assistants also oversee sending and receiving correspondence, as well as greeting clients and customers.2. JOB ACCOUNTABILITIES LINKED TO OBJECTIVE AREAS

  • Greet and assist visitors to the office and directing them to the appropriate personnel.
  • Carry out administrative duties such as filing, typing, copying, scanning, arranging for supplies etc.
  • Process, sort, and route incoming and outgoing mail or deliveries.
  • Coordinating and managing appointments, meetings, and the conference room schedule to prevent duplicate bookings.
  • Exhibits polite and professional communication via phone, e-mail, and able to manage front desk.
  • Provide ad hoc support around office as needed.
  • Maintain visitor’s logbook among our premises and making sure that unrestricted areas are inaccessible not unless permitted. Give visitor access cards throughout the visit and returned once done.
  • Oversee and supervise the work of cleaning staff.
  • Ensure your organization premise is inspected daily and if any rectification needed, schedule meeting with Maintenance Manager to fix/replace the damages.
3. MINIMUM QUALIFICATIONS/EXPERIENCE/KNOWLEDGEQualifications:
  • 1-2 years of experience as an administrative assistant.
  • Language skills - English & Hindi/Malayalam Preferred.
Experience:
  • Diploma/Bachelor’s Degree or Equivalent
Knowledge:
  • Proficient in MS Office (word, excel, PowerPoint etc.)
  • Experience in any ERP Solution (Preferred)
