Liaise with Groups and Incentives, Reservations and Senior Tour Guides Executive to co-ordinate transport requirements and ensure client specifications are fully met.
Maintain the AA FMS (Fleet Management System) database and ensure that it is continuously updated. Plan and allocate daily transportation using AA FMS for clients including individuals and groups, providing an efficient transportation and customer service.
Ensure effective utilisation of fleet/human resources to maximise productivity and minimise costs.
Responsible for vehicle maintenance of the transport fleet, ensuring condition & safety standards set by the company are always met and the fleet is fully operational at all times.
Administer, follow-up and ensure vehicle insurance is registered periodically and within set timescales. This includes liaising with the Insurance Department, ensuring repaired vehicles are returned promptly following an accident to ensure minimum disruption to transport operations and for the avoidance of addition vehicle hire costs.
Develop, in consultation with Transport Officer, departmental procedures to ensure a 'best practice' approach in particular for any new situations that may arise operationally. Review departmental procedures and practices and make recommendations on performance improvement to the Transport Officer. Escalate cases where quality objectives are not met or corrective action cannot be agreed upon etc.
Prepare Drivers duty rosters and allocate vehicles for transfers and excursions on a daily basis to ensure that the resources are utilised efficiently and service standards are met. Distribute jobs efficiently and effectively among drivers. Perform fortnightly checks to ensure that overtime is fairly distributed amongst Drivers.
Co-ordinate with the Tour Bus Driver Team Leaders to ensure the Tour Bus Drivers are trained, briefed on safety measures and job functions to provide efficient customer service, and also be aware of company liabilities. This may include monitoring and coaching the Tour Bus Drivers directly.
Periodically review Tour Bus Drivers grooming, punctuality and performance. Provide feedback to Tour Bus Driver Team leaders for action. Undertake performance reviews where required.
Investigate client complaints and follow-up with suppliers and staff where necessary to minimise loss of earnings through service recovery.
Qualifications & Experience
Vocational or Diploma (12+2 or equivalent)
Hospitality/Tour. Field Guides: 3+ years
Thorough knowledge of UAE culture, road network and history of the places of interest.
A good team member, well groomed and sociable in a multi-national and multi-cultural environment.
Must hold a valid UAE driving license.
Computer literacy is a must.
