ADMINISTRATION

Draft Letters, Reports, Memos, etc.

Travel arrangements which include visa preparations, hotels, tickets and pick up arrangements of FT Management, staff and visitors.

Understanding the priorities of mails and segregate accordingly

Organize business itineraries, conferences, meetings and social functions

Transport Arrangement

Document Control for all records maintenance.

FACILITIES MANAGEMENT

Initiate, implement, and manage the maintenance strategies of the facilities of Flowtronix. With an emphasis on planning/scheduling, preventative/reactive maintenance.

Establish and maintain a maintenance management system for tracking and monitoring registrations, license renewals and other related task with regard to facilities.

Prepares reports, data, and make recommendations for improving operations and solving maintenance related problems.

Manages outsourced maintenance and other contractors and ensures that they are adequately trained, equipped, and motivated so that the maintenance program can be accomplished in a safe, timely, and costeffective manner.

VEHICLE MANAGEMENT

Assist in sourcing, ordering and requisitioning of all parts and materials required for the repair and maintenance of all FT vehicles.

Control the use, care, and repair of the vehicles in authorized shop facilities.

Ensure that the shop is in compliance with company requirements.

Maintain tracker of all vehicle credentials ( vehicle registrations, insurance policies) and physical checks on vehicle on a regular basis.

Ensure that all vehicles and its corresponding documents are registered and up to date.

RENTAL & VEHICLE LEASE

Source, coordinate and transact with rental facilities regarding leasing requirements of the company.

Established guidelines and procedures in obtaining requirements and authorizations, signatures, from management.

Monitor mileage and maintenance of each leased vehicles for proper coordination with the driver(s) and rental companies.

ASSET MANAGEMENT

Admin Supplies management

Providing support to public relations officer

Local Procurement / Purchase

Maintain the general filing system and file all correspondence

Maintain confidential documents

This placement requires excellent liaison and coordination with Team FT & to all parties in contact with FT.

Performing other admin related duties.

Any other duties assigned by the management.

Required qualifications

Any bachelors degree graduate
