On behalf of our client, an internationally operating entrepreneurial family, we are on the hunt for a multilingual, bright, switched on and energetic

Brief: 

In this role, you are responsible for the day to day running of the couple's life by providing full administration support in both business and personal matters. Your superiors are away from the office for a considerable part of their time, which demands that you are highly proactive. During their absence, you ensure that all work emanating from the office reflects the overall standards for high quality and efficiency. Key responsibilities comprise of managing and frequently reorganizing the diary, overseeing deadlines, arranging complex travel itineraries, and preparing documentation for meetings. Furthermore, you control and maintain paper and e-mail flow into the office. Also, you will liaise with their offices around the globe, follow-up on requests, and organize calls. Concerning personal affairs, you will be supporting tasks such as liaising with private contacts as well as planning social events - ensuring that all activities run smoothly. It will be necessary to keep aware of the big picture and having a good knowledge of ongoing projects across the USA, Asia, and Europe. You will foster strong rapport with key contacts. Additionally, you will administer their properties by overseeing refurbishments, repairs, and act as the to-go-person for domestic staff. Not at least you will assist with ad-hoc tasks and projects. Your superiors are creative and highly successful: They would need a person who thrives in the role of an assistant and who wants to establish a longstanding relationship with their next employer.

Requirements

To succeed in this role, your professional background reflects several years of working experience in similar roles for high profile senior executives or entrepreneurs. We welcome qualified applicants who would wish to gain vast experience in highly interesting unusual projects with abundant diversity. A key prerequisite is a fluency in English and German. You also speak Spanish and/or Italian at a conversational level. Any other language is an advantage. Unfortunately, we cannot compromise on the requested languages. The personal fit is of particular importance, and a background in PR, art, culture, or luxury industry would be a surplus. You are conscientious and articulate, and able to communicate effectively, both verbally and in writing. You should also be willing to handle the routine, more simple tasks of the job with much passion and pride. Excellent planning skills are essential because the position often requires the juggling of several tasks at the same time. You are an independent thinker with confidence in your abilities and not afraid of making decisions. Your charismatic and diplomatic personality radiates intelligence, humor, efficiency, and professionalism. Due to the nature of the work, you will need to be extremely organized with excellent communication skills. Absolute discretion is essential, as is flexibility regarding work hours if urgent deadlines have to be met. What else is requested?


  • Graduate to at least A level standard, or a degree in or hospitality management
  • Sound knowledge of the MS-Office applications and familiarity with current mobile devices
  • Ability to multi-task and manage own workload
