Procurement Officer

The Procurement Officer – Marketing is responsible for managing and overseeing the procurement process, for the Marketing requirements, to ensure the acquisition of goods and services meets the organization's needs. They play a crucial role in negotiating contracts, identifying cost-saving opportunities, and maintaining positive relationships with suppliers.DUTIES AND RESPONSIBILITIES: Sourcing and Supplier Management: Manage procurement for marketing-related needs, including branding materials, promotional merchandise, event setups, activations, advertising, and media buys.Coordinate with the Marketing Department to plan and procure in alignment with campaign timelines and deliverables.Identify and evaluate potential suppliers, conduct thorough evaluations to assess their capabilities, maintain a supplier database, and establish relationships with vendors.Conduct market research, negotiate contracts, and manage supplier performance.Negotiate terms and conditions with suppliers to secure favorable agreements.Maintain strong relationships with existing suppliers and explore opportunities for strategic partnerships.Purchase Requisition Processing: Receive and review purchase requisitions from various departments within the organization.Ensure that the requisitions comply with the organization's policies and procedures.Request for Proposal (RFP) Management: Manage the RFP/RFQ process.Prepare and issue RFP documents, evaluate vendor proposals, and select the most suitable supplier.Purchase Order Processing: Create purchase order requests and coordinate with accounts department for LPO issuance.Ensure that the purchase orders accurately reflect the requirements and terms negotiated with the supplier.Contract Management: Manage the entire lifecycle of contracts with suppliers, negotiating terms and conditions to monitoring performance and resolving any contractual disputes or issues that may arise, in coordination with the applicable departments Ensure compliance with contract terms.Inventory Management: Work closely with departments to ensure appropriate inventory levels are maintained.Coordinate the ordering and delivery of goods to meet demand while minimizing excess or obsolete inventory by utilizing a barcoding system.Assess and mitigate risks associated with procurement activities.Evaluate supplier stability, monitor supply chain disruptions, and implement contingency plans to minimize potential disruptions to the organization's operations.Review of Products and Service Quality: Work closely with all department heads to periodically review the quality of goods and services provided, handle claims or disputes with the vendors and/or legal team and provide alternative solutions for the business.Reporting and Analysis: Generate reports and analyze procurement data to provide insights on procurement performance, supplier performance, and cost savings achieved.
