Primary Purpose of the Job:
Carries out a variety of clerical duties of allotted division covering typing of correspondence, reports, notes, statements, proof reading of completed typing work, sending faxes, receiving, registering and distributing office mail, retrieving and photocopying of documents, and other allied clerical duties in order to provide an efficient operational/technical support and administration service to Operations Engineering Department. Ensures that the correct operational/technical and administrative/material management procedures are being followed in day-to-day running of the division and to provide comprehensive secretarial services to the division head and his staff. Develops different types of forms/computer spreadsheets for various statistical records and reports to meet variety of operational and technical requirements. Keeps record of overtime, checking and dispatching of time sheets of divisional staff and ensures that are marked properly. Works as secretary to Head of Process Technology by receiving and keeping record of telephone calls/messages, appointments, meeting and mail. Carries out the duties of the Senior Personal Assistant during leave or absence and assists other clerks during periods of absence or heavy workload. Education:
Completion of Secondary school followed by formal training/ diploma in office procedures/secretarial/administrative/finance courses and see of PCs using Excel, Word &D-base programmes. Experience & Skills:
Minimum of 6 years previous experience is required in a technical/operations office preferably hydrocarbon industry covering typing of technical reports/memorandums, proof reading of correspondence typed by others to correct errors and presentation formats. Good level of proficiency in English with good in typing mandatory. Arabic proficiency/typing and BA/Commerce degree preferable.
