We are looking for a supervisor that keeps the team moving forward and functioning at a high level.

Main Objective:

To provide overall responsibility for the day-to-day supervision of all designated team/s to ensure the business operations is (1) functioning within company standard, (2) implementing within budgeted and planned cost, (3) ensuring quality customer service, (4) working within timely manner, all of these for the purpose of providing clients with a delightful Light of Love ambience and experience.


Administrative:

• Overall responsibility for all aspects of the effective supervision, training & development and health, safety and welfare of your team.

• Daily direct supervision to all personnel in operations, aim to have a positive outcome / result for each personnel

• Ensures achievement of every personnel to hit related set operations target/s and goal/s.

• Provides strong leadership, direction and mentoring, thereby fostering and sustaining cooperation and team spirit.

• Ensures compliance with all company rules and procedures and departmental work instructions, processes, systems, flows, procedures etc.

• Responsible for the work standards and work expectations that are align to the company objectives.

• Monitors personnel performance and conducts regular review and tracking progress.

• Ensure structured and planned training and development of each team member to maximize skills.

• Provides timely and constructive feedback on the effectiveness of training and make suggestions for improvements.

• Responsible for disciplining team member and take corrective action to operations personnel when needed.

• Performs team member's duties and responsibilities when deemed necessary such as for: (1) Maintenance, (2) Inventory, and, (3) Events.

Planning and Organizing:

• Initiates planning and organizing work; (1) to achieve company goals / objectives / targets, (2) improvement of current / common operations practices, and (3) resolutions to existing operations problems / conflicts / challenges / difficulties.

• Responsible and ensures execution of implementation plan / action plan.

• Coordinates with other supervisors as required in a timely business operation to achieve company or team objectives.

• Organizes all needed requirement to achieve the company target

• Monitors or tracking progress of the plans

• Responsible for handling conflicts, problems, challenges, difficulties arrive while implementing the plans; Timely escalation if needed.

• Review, revise and update the plans for time-to-time or in a regular tracking progress manner.

Maintenance:

• Ensure that all daily maintenance works are being carried out in accordance to the agreed Duties and Tasks as provided in our Operations and Maintenance Manual. Regular inspection of activities should be performed.

• Prioritization of works and tasks assigned to personnel to achieve a more efficient work environment and to maximize personnel's time and potentials.

• Daily checklist forms should be filled-up and re-checked to ensure all scheduled tasks are done satisfactorily.

• Anticipation and Identification of problem areas.

• Identify and/or anticipate needed repairs/maintenance, including electrical, mechanical, plumbing, civil works and landscaping.

• Ensure to have a regular check-up on all electrical works includes lighting and other electronic and electrical devices such as heaters, hand dryers, etc. Are usually performed by our maintenance personnel.

• Ensure to have a regular check-up on all plumbing works such as repair and/or replacement of faucets are usually performed by our maintenance personnel.

• Ensure to have a regular check-up on all mechanical works including air-conditioner and generator repairs, outside contractors are called for servicing. Proper channel and procedures being implemented should be followed for such works.

• Ensure to have a regular check-up on all civil works needed to the place, consultant may be consulted to identify needed and proper work procedures for an identified problem.

• Ensuring venues and other Light of Love facilities are cleaned and readied for an event or function.

• Ensure to have an additional and on-call security guards for multiple events (at least 3 overlapping or simultaneous events) must be secured ahead of time.

• Responsible on the monthly scheduling of personnel for daily maintenance works and Light of Love events' needs.

• Ensure that daily, weekly and monthly work schedules are provided to personnel using guidelines laid out in our Operations and Maintenance Manual.

• Suggest proposals projects as needed in the general beautification and upgrade of Light of Love facilities.

Inventory:

• Ensuring enough supplies and stocks needed for daily operations and maintenance needs.

• Ensuring that all tools, equipment and other fixed assets must be properly tagged, assigned with corresponding fixed asset issuance report. Common tools and equipment (garden hose, extension cord, grass cutters, etc.) should be logged daily and surrendered at the end of the day on their corresponding storage areas.

• Responsible for the monthly stock inventory will be conducted and reports with proper documentation should be submitted.

Events:

• Ingress Period:

• Ensure all assigned venues, rest rooms, courtesy rooms as assigned by Accounts Executives in charge are readied by maintenance personnel.

• Ensure all checklist and forms are properly accomplished to check all suppliers assigned for an event are present and follows all house rules and regulations.

• Ensure all assigned personnel for an event are in their proper locations ( parking areas, venue entrances). In case of absences, substitute personnel must immediately be identified and assigned.

• During an Event:

• Maintain presence within the venue most of the time of the event proper to ensure all reasonable requests and/or problems from clients and guests are met in accordance with Light of Love house rules and guidelines.

• Ensure at least one (1) of the assigned attendants within the venue proper at all times to assist clients and guests needs.

• Should also perform roving inspection to identify erring suppliers' personnel, including unnecessary loitering outside of their assigned venues, kitchens and caterers' areas.

• Ensure clients return all courtesy room keys before they leave the compound.

• Ensure all corkage and/or additional charges should be paid by the client.

• Ensure all possible damages done to Light of Love facilities are charged accordingly to the client or accredited suppliers. A corresponding incident report duly signed by the persons involved should be issued. It should be noted that unpaid damages done by outside suppliers and guests will be charged to the client, thus they should be informed as soon as possible.

• Egress Period:

• Ensure to close all unnecessary lights, leaving only those needed for egress period.

• Ensure that egress period for suppliers are set at two (2) hours.

• Ensure that no suppliers' equipment and/or garbage are left within Light of Love premises.

• Ensure that all garbage, smelly and/or perishable items/equipment should be pulled-out of LOL premises.

Other Duties and Tasks:

• Field assignments including but not limited to Tagaytay Villa operations and Light of Love exhibit/s.

• Other routinary duties and tasks as called for or as due to situational experience/s.

• Other duties and tasks that may be assigned by immediate superiors as the need arises.

• Prepare reports and other documentations.



Qualification:

• Graduate of Business Administration in Marketing Management or any related course; MA degree is not required but it is an advantage.

• With excellent administrative and operations skills expertise experience

• Has technical knowledge or experience in events services and in venue maintenance operations

• At least have 3 to 5 years supervisory experience under admin or operations department; Working experience in events or property management industry is not required but it is an advantage.

• Computer literate with a good communication skill

• Mature with high sense of commitment and passion to the assigned job

• No Attendance Issue

• Proactive and willing to be trained

• Compliance with the company rules and regulations

• With excellent Leadership Skills and Positive Personality

• Willing to work on field, assign anywhere in the Philippines, work overtime and weekends if necessary.
