Responsibilities:
- Provide comprehensive assistance to the CEO to ensure a professional, responsive and efficient experience
- Work as the administrative point of contact between the executives and internal/external clients
- Maintain diary, contacts, and provide reminders to the CEO
- Develop a professional calendar to ensure proper alignment with scheduled activities and meetings
- Create professional and eloquent emails and letters for internal and external clients of the organization
- Plan and organize on-site and off-site meetings such as teleconference, video conference, internal and client meetings
- Represent and attend to various meetings to transcribe and draft minutes
- Undertake the tasks of receiving calls and take messages between the organization and clients
- Ensure confidentiality of information and documents between the CEO and internal/external clients
- Conduct research and supply relevant information
- Assist with special projects and other related duties in support to the success of the account
- Assist with creation or preparation of legal documents, presentations, reports and other paper work
- Organize local and international travel arrangements and accommodations (Dealing with travel agencies, Hotel and Airline for business and personal trip)
- Create itineraries for CEO and clients; this includes processing of documents such as Visa, Passport, and ID's
- Coordinate with different Government Agencies (offshore and onshore) to ensure that necessary documents are secured
- Manage and arrange payment of bills or invoices for CEO or company
- Deliver accurate and timely company financial reports such as financial statement, budget utilization, and others as requested
- Candidate must possess at least Diploma or Bachelor's/College degree in Office Administration, Accountancy, Business Studies/Management or any related field for this position
- Minimum of 5 years proven track experience as an Executive/Personal Assistant
- Experience in dealing with high-profile executives and expats
- Exposure to Western Culture is an advantage
- Must have exceptional written, verbal, and interpersonal communication skills
- Must be proficient in Microsoft Office Applications and other research tool to ensure the efficient tracking and security of documents
- Knowledge in Bookkeeping, Spreadsheet, and experience in preparing Financial statements or documents
- Must have experience in processing legal documents
- Has background in doing transactions with government agencies, travel agencies, hotel and Airlines
- Keen to details and well organized in filing documents
- Creative skills for contributing new and innovative ideas
- Ability to work well under pressure and meet deadline
- Good technical understanding
