Executive Secretary to CEO ( Qatar)

Our client, a well-established MNC in Qatar is looking for a smart, qualified and experienced Executive Secretary for their CEO. Reporting directly to the CEO, the Executive Assistant to the CEO provides executive, administrative, and development support to the CEO and Top ;

The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out in a timely and efficient manner.

Responsibilities

• Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.

• Communicates with the general staff on the behalf and coordinates logistics with high-level meetings both internally and externally.

• Maintain Executive's agenda and assist in planning appointments, board meetings, conferences etc.

• Attend meetings and keep minutes

• Receive and screen phone calls and redirect them as appropriate

• Handle and prioritize all outgoing and incoming correspondence (e-mail, letters, packages etc.)

• Handle confidential documents and sensitive information ;ensuring they remain secure

• Prepare invoices or financial statements and provide assistance in bookkeeping

• Monitor office supplies and negotiate terms with suppliers

• Maintain electronic and paper records efficiently ensuring that information is organized and easily accessible

• Conduct research and prepare presentations or reports as assigned


Qualifications


• Minimum 5 yrs of experience in a similar role assisting Top management.

• Degree 

• Excellent communications skills in Arabic and English; verbal and written

• Proficient in MS Office and "back-office" software ( ERP)


• In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry

• Familiarity with basic research methods and reporting techniques


• Excellent organizational and time-management skills

• Outstanding communication and negotiation abilities

• Integrity and confidentiality

• Degree in art Arabic language or relative field
