RECEPTIONIST RESPONSIBILITIES

• Well versed in using the EPBAX and ability to handle visitors and vendors.

• Handle the main switchboard & all incoming or outgoing international calls.

• Well versed in using Office programs and work in a team.

• Handle and Dispatch Incoming & Outgoing post mail and courier.

• Maintaining leave and Business cards.

• Updating contacts.

• Maintain a general filing system.

• Provide support to HR & Accounts Dept. as necessary.

• Monitor office supplies, make requisition for stocks

• Greet and assist visitors, guest and clients to meeting room.

• Handle all bookings for the meeting room.

• Screen incoming mails and telephone calls, action responses and redirect correspondence where necessary.

• Manage the company's email address and send all important correspondence to the concerned person and/or department.

• Perform other related duties as required

SECRETARIAL RESPONSIBILITIES

• Provide secretarial supports .

• Organizing meetings and follow-ups.

• Assist for Commercial Licenses, Tenancy Contract, Insurance Policy of the office.

• Supporting the Superiors Managers & Team on assistance.

• Supporting other departments in administrative & other aspects in absence of their admin assistants.

• Deal with all sorts of correspondence mails, sending mails, memoranda and in response to inquiries.

• Providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner.

• Transmitting directives, instructions and assignments and following up on the status of assignments.

• Under the general supervision, performed secretarial and specialized clerical of Local Purchase Orders, requisitions, and to do related work as required.

• Assists in creating and revising forms, proposes procedures, formats, and standards for office correspondence.

Hr Responsibilities:

• Assist in the recruitment process.

• Maintain an up to date database for resume's for future facilitation of recruitment needs

• Conduct induction / orientation program for all newly joined employees.

• Coordinate with all departments with regard to Human Resources related activities.

• Manage all the daily requests from employees and work with the PRO on completing all PRO work.

• Maintain files and other information under strict confidentiality.

• Preparing staff handbooks;

• Develop and recommend operating policy and procedural improvement.

• Administering payroll and maintaining employee record on software database.

• Recruiting staff, which involves developing job descriptions and person specifications, preparing job adverts, checking application forms, shortlisting, interviewing and selecting candidates;

• Monitor staff performance and attendance activities.

• Record leave and Leave calculation.

• Assist with the day-to-day efficient operation of the HR office.

• To perform other duties assigned
