We are seeking a highly organized and self-motivated Office Manager to oversee the daily operations of our office. This role is ideal for someone who thrives in a dynamic environment, takes initiative, and can independently manage a wide range of administrative and operational tasks to ensure smooth office functioning. Responsibilities: Manage the daily operations of the office, ensuring a clean, organized, and well-stocked workspace. Serve as the primary point of contact for all office-related needs, including facilities, equipment, and supplies. Coordinate with vendors, service providers, and building management for maintenance, deliveries, and office services. Manage the reception area, including phone calls and emails. Handle incoming mail, packages, and deliveries, and manage outgoing shipments as needed. Manage responsibilities with Dubai Multi Commodities Centre (DMCC), including company-related government transactions, visa applications, cancellations, renewals, employment contracts, license renewal, portal updates, and maintaining up-to-date company records. Handle and support bookkeeping procedures for office expenses, prepare weekly and monthly reports for management, and file documents for audits. Ensure all office contracts, insurances, and legal documents are current and properly filed. Assist in organizing internal events, meetings, and team activities. Support onboarding of new employees by preparing workstations, access badges, and welcome materials. Maintain office policies and procedures, ensuring organizational compliance. Provide administrative support to leadership and departments as needed (e.g., scheduling, data entry, document management). Coordinate logistics for office supplies, IT equipment, courier services, and facility-related issues. Requirements: Bachelor's degree in Business Administration, Human Resources, or a related field. Proven experience in administrative roles, with exposure to HR tasks being a plus. At least 5 years of experience with visa processing procedures and knowledge of labor laws and regulations, especially related to Dubai Multi Commodities Centre (DMCC). Excellent written and verbal communication skills. Strong organizational and time management skills. Familiarity with office management procedures and proficiency in MS Office. Ability to work independently, manage multiple tasks simultaneously, and meet deadlines. Flexibility to adapt to changing priorities and handle confidential information discreetly. Proactive problem solver with a can-do attitude.
