Food & Beverage Administrator Job Description The Food & Beverage Administrator is responsible for coordinating administrative tasks and projects within the Food & Beverage team. They provide administrative support to complete projects in line with established policies and procedures.Maintain a high level of customer service by prioritizing customer needs and communicating effectively with colleagues.Take personal responsibility and initiative to resolve issues, ensuring clear communication with customers and colleagues.Show motivation and commitment by approaching tasks with enthusiasm and seeking opportunities to learn new skills or knowledge to improve performance.Be flexible and adapt quickly to changing requirements, performing any tasks requested.Maintain a high team focus by showing cooperation and support to colleagues in achieving team goals.Contribute ideas and suggestions to enhance operational and environmental procedures in the hotel.Promote the services and facilities of the hotel to guests and suppliers.Perform duties in a manner that ensures safety and the safety of others in the workplace.Prepare supervisors' files with daily function sheets and other food and beverage activities held in the hotel for briefings.Handle team members' particulars such as inquiries about public holidays, vacation days, and medical records.Type monthly team member attendance lists, mark attendance reports, and record transport allowance and claims.Keep personnel records of all team members, including addresses, salaries, status, birthdays, identity card numbers, and date of commencement.Type productivity forms regarding team member strength in respective sections, overtime hours, and extra labor involved.Check the weekly duty roster, tracking changes related to shift changes or personnel on emergency leave.Write work orders for all sections of the Food & Beverage department, following up with the Engineering department on completion.Arrange office requisitions, such as office materials, food requests, market lists, beverage requests, and general storeroom requests.Write and follow up on letters and memorandums.Attend F&B meetings, keep attendance, and write minutes, distributing them to concerned parties.Handle requests from other departments concerning the Food & Beverage department and handling cake orders.Arrange team members' and managers' discussions on the Employees Progress report, translating when necessary.Check timecards listing days of lateness, absence without permission, medical leave reports, etc.Collect mail.Take charge of the filing system at the F&B office and maintain organized files.Required Skills and Qualifications University degree, college certificate, or secretarial training in a vocational school or educational institution.12 years of experience in a similar position.Fluent English language skills to meet business needs, preferably with a good command of Food and Beverage department-related expressions.Computer literacy.Good organization, interpersonal, and communication skills.Proficient in word processing and spreadsheets.Good translation capabilities.Able to type fast and accurately.Line operations management and labor-related experience preferred.Benefits Hilton is a leading global hospitality company spanning the lodging sector.
