Overview

To provide an efficient and responsive administrative, organizational, and logistical service to the Managing Director, helping him to manage and prioritise his time.

Job Responsibilities

  • Manage and maintain the Managing Director's diary and email account; Filter emails, highlight urgent correspondence and print ;
  • Organise inbound emails into the appropriate folders and any relevant information to be copied into the correct file on the hard drive.  
  • Ensure busy diary commitments, papers and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers etc. and troubleshooting ;
  • Schedule on behalf of the Managing Director meetings between him and his direct reports and the committees and groups to which he is a member.  
  • Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the Managing Director match his requirements.  
  • Filter general information, queries, phone calls and invitations to the Managing Director by redirecting or taking forward such contact as appropriate.  
  • Ensure the Managing Director is fully briefed on, or prepared for, any engagements he is involved in. Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Managing Director.  
  • Minute general meetings as required and complete research on behalf of the Managing Director.  
  • Provide a service that is in line with the Managing Director's work habits and ;
  • Day to day diary management, Managing all forms of incoming and outgoing communication (phone calls, emails, faxes, etc.)on behalf of the Managing Director 

Requirements

  • Excellent time management and perfect attention to details  
  • Above average skills with Microsoft Office (Outlook, Word & Excel). Being familiar to other programs are an advantage but not essential 
  • Ability to work autonomously 
  • Retail Industry background is ;
  • Minimum 2 years experience as Executive Secretary or Personal Assistant 

English - Native Speakers preferred
