Description

**Duties and Responsibilities** - Reporting to the ED and working for the ED and Do E, the EA will handle a wide range of administrative and executive support-related tasks. They must be exceedingly well-organized and flexible and must be able to function effectively within a dynamic environment under minimum supervision. - Ensure appropriate systems and processes are developed and maintained to support effective and efficient day-to-day running of the ED and Do E’s offices. - Undertake secretarial functions for all school Boards of Governors, including meeting scheduling, organizing participation, voting and quora, record-keeping, the issuing of minutes, sub-committee management and document preparation. - Attend weekly school management meetings alongside the Do E, and issue agendas and minutes. - Manage the online calendar, meeting and event commitments ensuring sufficient time for operational requirements in the office. - Arrange travel requirements as and when required in conjunction with PA to CEO. - Arrange meetings including coordinating all logistics, materials etc, and take notes and issue formal minutes within 2 working days of meeting taking place. - Provide general assistance during presentations, planning itineraries, developing agendas and meeting materials, etc - Receiving and interacting with visitors at all levels and ascertaining the nature of business - Liaise effectively and efficiently with various senior employees, clients, suppliers and other staff - Answering and managing incoming calls, relaying messages to the correct members of staff - Open and distribute incoming mail and other material and respond on behalf of the ED and Do E where appropriate - Competently and confidently delegating work in the ED and Do E’s absence - Compile data, statistics and other information and conduct research as directed by the ED and Do E - Ad hoc personal errands for the CEO - Deputise for the PA to CEO in her absence - Setting the Meeting Room **Skills** - Ability to work under pressure and to tight deadlines - Exceptional organisation and time management skills - Ability to undertake research and to digest, analyse and present material clearly and concisely - Advanced level of MS Office suite, including Outlook, Work, Excel and Power Point. - Excellent English communication skills - both written and verbal (IELTS Proficiency/C2) - Arabic proficiency is required - Strong attention to detail - Negotiation skills - Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines - Discretion and understanding of confidentiality issues - Highly organized self-starter, able to work unsupervised or as part of a team - Strong interpersonal skills - Honesty and integrity **Qualifications** - Graduate with qualification in business studies, law, commerce or management **Experience** - Education or legal or paralegal or company secretarial background preferred - A minimum of 6 years’ experience as an Executive Assistant with at least in 3 years in a senior position Ability to commute/relocate: - Doha: Reliably commute or planning to relocate before starting work (preferred) Application Question(s): - Do you have an NOC ? **Education**: - Bachelor's (required) **Experience**: - Executive Secretary: 5 years (required)
