Executive secretarial work for the executive council of the company **Responsible for the following**: - Preparing the agenda for the Executive Board, assisting in planning appointments for members of the Board, organizing Executive Board meetings, recording, and archiving meetings, and ensuring easy access to all of this by the Board members. - Make, receive, and forward phone calls as requested. - Dealing with incoming and outgoing letters and arranging them according to priorities. - Preparing and processing travel arrangements for members of the Executive Board. - Dealing with confidential documents and ensuring that they remain secure. - Writing, printing, and sending the letters required by members of the Executive Board in both Arabic and English. - Monitoring office supplies and negotiating with suppliers to ensure the most cost-effective orders. - Maintain electronic and paper records and ensure information is organized so that it is easily accessible. - Conduct research and prepare presentations and reports when requested. - Organizing internal bookings for meeting room use and arranging with different managements to set priorities. - Arranging the agenda of annual events related to the company's work and its various geographical areas and arranging lists of congratulations and various telegrams for clients and others, in coordination with members of the Executive Board. - Building a record of clients and dealers with the company and classifying them. **Tasks** - Using the company's database related to the nature of the work. - Communicate with suppliers of office services within the limits of the nature of the work. **Authorities** - Responsibility for carrying out all the above tasks. - Responsibility for archive files, reports, and meetings of the Executive Board. - Responsibility for the company's incoming and outgoing mail, congratulatory messages, and various telegrams. - Responsibility for following quality systems in the implementation of various projects. - Responsibility for adhering to the company's strategic values stated in its strategic vision. **Responsibilities** - Gender of the applicant**: female**. - She must have a bachelor's degree in a major close to the nature of the company's work and the tasks required of it. - Professional practical experience of not less than 3 years in executive secretarial positions, preferably in the State of Qatar and the Gulf region in general. - It is preferable - but not a requirement - to obtain training courses in the field of secretarial and office work. - Proficiency in using MS Office programs. - Good knowledge of managing office work. - Research and reporting skills. - Integrity and confidentiality in dealing with information. - Being courteous inside the company, with its employees, and outside it, in front of its customers and its external environment. - Bilingual, full proficiency in Arabic and English at least, is a must. - Effective communication skills. - Commitment to public morals and values of our Islamic and Arab societies. **Qualifications & Characteristics** **Salary**: QAR4,000.00 - QAR5,000.00 per month Ability to commute/relocate: - Doha: Reliably commute or planning to relocate before starting work (required)
