We are looking for a competent Executive Secretary to support high-ranking officials in our company. You will be the one to organize and maintain the executive's schedule and assist them by performing a variety of administrative tasks


Executive secretaries must be quick professionals with great time-management and multitasking abilities. It is with their diligence and competence in their work that executives can focus on their managerial responsibilities without worrying for other tasks


The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.


Responsibilities:


• Performing various executive and administrative support duties that are highly sensitive and confidential.


• Planning and coordinating arrangements for professional meetings and conferences.


• Coordinating in office management related activities for the executive


• Prepare invoices or financial statements and provide assistance in bookkeeping


• Maintain electronic and paper records ensuring information is organized and easily accessible


• Receiving and screening visitors and incoming calls, determining the priority matters, and providing alert messages to the executive accordingly.


• Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries


• Researching, compiling, assimilating, and preparing sensitive and confidential documents, and briefing the executive regarding content.


• Reviewing, proofreading, and editing documents developed for the signature of executive.


• Coordinating and facilitating the executive's calendar to arrange meetings, appointments, and conferences.


• Making travel arrangements, preparing itineraries, preparing, compiling, and maintaining travel records and vouchers.


• Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.


Skills and Specifications


• Proven experience as executive assistance or similar administrative role


• Knowledge of office processes, practices, and computer software applications.


• Minimum 2 years working experience with MS Word, Excel & Power Points


• Ability to create charts, presentations, databases, graphs, and spreadsheets.


• Ability to meet deadlines and schedules of the work area.


• Typing ability able to operate basic office equipment.


• Effective listening and verbal communication skills.


• Strong written & spoken English skills


• Highly motivate and self-confident


• Capable of handling multiple tasks


Education and Qualifications


• Bachelor or equivalent Associate's degree from an accredited institution.


• Experience in Administrative support activities.
