Duties & Responsibilities

  Opening inbound client files upon receiving move confirmation from Origin Agents

  Liaising with Sales Department for Pre-move Survey Summary and client files for outbound shipments

  Ensuring that all the customer requirements are implemented in accordance with survey summary

  Establishing preliminary contact with the client in UAE or overseas to arrange necessary documents for outbound or inbound shipments

  Updating all the client information in Voxme client file and ensure all the necessary documents are added to the DXI Client file in timely manner

  Providing instructions to the Packing Team and Drivers regarding daily operations, packing, unpacking, local moves, deliveries or container loading jobs

  Keeping track of the activities of Packing Team and following up on packing/local move jobs for final volume, dimensions and packing list and following up on delivery jobs for POD documents

  Ensuring if the Packing Team is adhering to the standard procedures set by the Management and completing all the necessary documentation for all Operations jobs

  Coordinating with the shipping lines or airline agents to book vessels/carriers for outbound shipments

  Submitting shipping instructions to shipping line or airline agent in case of outbound shipments and to Origin Agent in case of inbound shipments

  Communicating with overseas agents for confirming BL or AWB draft for inbound and outbound shipments

  Issuing Insurance Policy where applicable and forwarding it to the client

  Periodically updating the client and overseas agent on shipment status

  Liaising with Accounts department for Shipping Lines, Airlines and overseas Agents invoices and their payments

  Tracking inbound shipments and arranging customs clearance and delivery after receiving official receipts payment from the client when applicable

  Ensuring that DXI Files are updated with all the move related documents such as Quotation, Client's Passport and Visa Copy, Shipper Information Sheet, Customs Forms (if any), Survey Summary, Packing List, OBL or AWB, Work Order, Insurance Policy, Shipping Lines/Airline Invoice, Overseas agent invoice, Pre-Alert/Transmittal Sheet, POD, Feedback Form etc.



Qualifications & Requirements

  Bachelor's Degree or Post Graduation 

  Minimum 1-2 years Professional Experience in Logistics coordination

  Excellent written and oral communication skills

  Comprehensiveness to understand and execute all clients requirements

  Highly organized, detail oriented and self-motivated

  Time management skills, ability to prioritize and multitask

  Must be able to work under pressure, plan and coordinate with different departments

  Proficient in Microsoft Word, Excel and Outlook
