Recruitment

1. Prepare placement of advertisements, sending acknowledgements and response letters, sourcing, head hunting, screening, preparing interview documentation, arranging interview schedules, and maintaining records of recruitment.

2. Assist the HR Manager in updating and designing company job descriptions to reflect changing roles.

3. Providing assistance in hiring process activities maintaining a spreadsheet on tracking an applicant.

4. Preparing all documentations required like job offer, recruitment agreement for all manpower recruitment agencies local and international, ensuring that details information are accurate as per each Country's Labour Law. Responsible on the same in processing of Local and direct hired candidates.

5. Coordinate with employment agencies/Office personnel on the new recruitment plan, schedule and trips and all related documentation required.

On boarding and Orientation:

6. Liaised with PRO for accomplishment of visa and residence formalities of new recruits, renewal of visa as per statutory norms for the existing employees.

7. Follow-up for timely deployment of selected employees; coordinating travel arrangements/boarding of the new employees.

8. Processing OK to board and ensuring all documents are prepared and done before arrival.

9. Coordinate with Camp Boss/office personnel regarding airport pick-up from the airport, lodging and uniforms.

10. Handling employees joining formalities on the newly joined/arrived staff including preparing staff notification email and joining forms.

11. Coordinated induction process, collected necessary supporting documents and extended necessary help to the new recruits/employee.

12. Introducing the new staff to all departments in the office.

Employee Welfare and Relations:

13. Prepare the necessary documents and coordinate to PRO for processing the staff residency permit procedure, new and renewal of health certificate, labour cards, health Insurance, and salary bank card.

14. Prepare documents and facilitate process for staff going on leave (emergency leave, short leave, annual leave and travel arrangements.

15. Maintain and update all employee records, memos, absences, and disciplinary actions taken against the employee.

Other HR and Admin Duties:

16. Providing general HR and administrative function such as preparing correspondence, forms and reports, composing/drafting regular correspondence, Inter office communications, memos, establishing maintaining and controlling documents of personnel, employees and recruitment.

17. Participate and assist in redesigning and updating jobs description, HR Form, orientation manual and other necessary documents.

18. Coordinating and reporting to Administrative Director on all day to day business related correspondence and informed on all related and important matters.

19. Protect the security information, data and files, filing of documents and implement effective file system.

20. Ensuring proper approvals on forms and enter changes in the system.

21. Handling internal and external mail management system efficiently.

22. Maintain and update all employees Security and gate pass for all project sites.

23. Performing other duties as assigned by the Administrative Director.

Skills:

Reporting Skills, Maintaining Employee Files, Dependability, Organization, Scheduling, Confidentiality, Independence, Verbal Communication, Teamwork, Microsoft Office Skills. Should have minimum 7 years' experience in a UAE or Gulf region.

Education:

Bachelor degree holder in Business Administration.
