MAIN RESPONSIBILITIES, KEY ACTIVITIES & DUTIES


Completes a broad variety of administrative tasks for the Managing Director including: managing an extremely active calendar of appointments, composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

Plans, coordinates and ensures the Managing Director's schedule is followed and respected.

Communicates directly, and on behalf of the Managing Director, with Board members, staff, investors, beneficiaries and others.

Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Managing Director, including those of a sensitive or confidential nature.

Provides a bridge for smooth communication between the office of the MD and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff.

Works closely and effectively with the Managing Director to keep him well informed of upcoming commitments and responsibilities, following up appropriately.

Drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Managing Director's ability to effectively lead the company.

Ensure at all times that the general look and tidiness of Office of the Managing Director is in order and in best shape as it represents prestige and image of the Company.

Coordinates staff meetings.

Devising and maintaining office systems, including data management and filing Arranging travel, visas and accommodation and travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations

Screening phone calls, enquiries and requests, and handling them when appropriate;

 Meeting and greeting visitors at all levels of seniority;

Organizing and maintaining diaries and making appointments

Dealing with incoming email, faxes and post, often corresponding on behalf of the manager

Carrying out background research and presenting findings;

Producing documents, briefing papers, reports and presentations;

Organizing and attending meetings and ensuring the manager is well prepared for meetings and prepare minutes of the meeting;

   Liaising with clients, suppliers and other staffs.


MINIMUM ENTRY REQUIREMENTS


Bachelor's degree required.

Strong work tenure: 2 to 3 years of experience supporting C-Level Executives.

Proficient in Microsoft Office, and Social Media web platforms, including knowledge of a range of software packages

Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and beneficiaries.

Expert level written and verbal communication skills.

Emotional maturity.

Highly resourceful team-player, with the ability to also be extremely effective independently.

Proven ability to handle confidential information with discretion, be adaptable to various competing demands.

Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.

Ready for immediate joining

Flexible to travel even on short notice.
