Job details
Coordinates meeting schedule and other appointments.
- prepare LOI, order confirmation, payment certificate, etc.
- Attending site progress meetings and preparing minutes of meeting.
- Receives all submittals and initiating on the system.
- Return all commented submittals to main contractor and follow-ups for re-submission if any.
- Receiving/preparing memorandum and other internal/external correspondence.
- Attend to visitors and replying queries.
- Receives and distributes incoming mail; review and evaluate mail to identify those items requiring priority attention.
- Maintain updated document archives and ensure their safety and confidentiality.
- Maintain an organized and up-to-date document management system, to allow easy access and retrieval of any document at anytime.
- Support the team members and line manager in the preparation of reports and setup of meetings.
- Control/ manages/organizing/safekeeping and updates files on important corporate documents such as Contract Documents, Contract Drawings, Bill of Quantities, Minutes of Meeting, Request for Approval, General Incoming and Outgoing Correspondence and other important documents, etc.
