Bachelor of Business Administration, Bachelor of Arts Nationality Indian Any Vacancy 1 Vacancy Job Description Manage and maintain the executive's calendar, including scheduling appointments, board meetings, conferences, and travel itineraries. • Draft, review, and manage professional correspondence including emails, letters, and official documents. • Attend meetings, take accurate minutes, and follow up on actionable items. • Screen and route incoming phone calls and correspondence appropriately. • Handle all incoming and outgoing correspondence, including packages and sensitive communications. • Coordinate domestic and international travel arrangements, including air tickets and hotel bookings. • Manage and safeguard confidential documents and sensitive information. • Assist in the preparation of invoices, financial statements, and basic bookkeeping tasks. • Maintain well-organized electronic and physical filing systems for easy retrieval. • Conduct research and prepare detailed reports, presentations, or other documents as required. Desired Candidate Profile Minimum of 3 years of proven experience as a Personal Assistant or Executive Secretary, preferably supporting a CEO or Managing Director within the UAE. • A smart and intellectually curious individual with strong problem-solving abilities and a proactive mindset. • A bachelor’s degree is mandatory. • Proficient in MS Office Suite (Word, Excel, Power Point, Outlook). • Strong understanding of office management systems and basic accounting procedures. • Proficient in basic administrative activities such as filing, data entry, calendar and email management, meeting coordination, and supplies procurement. • Ability to manage or assist with cross-departmental tasks in the temporary absence of team members, ensuring smooth day-to-day operations. • Familiar with basic research methods and reporting techniques. • Exceptional organizational and time-management skills with the ability to multitask effectively. • Excellent verbal and written communication skills in English; proficiency in Arabic is an advantage. • High level of integrity, discretion, and confidentiality. • Ability to work under pressure and adapt to dynamic schedules and priorities. • Must possess a valid UAE driving license and be able to commute reliably or relocate to Dubai prior to joining.
