Executive Assistant to the Managing Director - (184) We are seeking a highly experienced and strategically minded Executive Assistant to support the Managing Director of a leading organization based in Abu Dhabi. This role is designed for a senior-level professional with a proven track record of supporting top-tier executives in high-performance environments.The ideal candidate is not only operationally strong but also capable of building systems, managing complex priorities, and protecting executive bandwidth with precision. This is a high-impact role requiring exceptional discretion, executive presence, and a proactive mindset. Key Responsibilities Executive Time & Calendar Management Own and manage the Managing Director’s calendar with full autonomy and foresight. Leverage AI-powered scheduling tools and smart systems to optimize time allocation. Coordinate cross-functional meetings, strategic reviews, and high-level engagements with clarity and control. Systems & Process Optimization Develop and implement scalable systems that improve daily efficiency and decision-making flow. Identify and resolve workflow inefficiencies, schedule bottlenecks, and time leaks. Build dashboards and tracking mechanisms to support key operational priorities. Prepare structured, outcomes-focused agendas in collaboration with internal and external stakeholders. Organize relevant briefing documents and ensure the MD is fully prepared ahead of every meeting. Track decisions, action items, and next steps post-meeting with strong follow-up discipline. Manage and triage incoming communications to ensure fast, accurate response and prioritization. Draft, edit, and review executive-level communications with professionalism and strategic tone. Serve as a liaison between the MD and key internal/external parties. Strategic Support & Insight Anticipate needs, opportunities, and challenges—escalating only what’s necessary. Scan discussions, correspondence, and meetings for strategic opportunities and follow-ups. Support key projects by managing timelines, deliverables, and accountability across teams. Confidentiality & Discretion Maintain the highest standards of confidentiality when handling sensitive information and documents. Act with sound judgment, loyalty, and professionalism in all situations. Job Requirements 7–15 years of experience supporting C-suite or Managing Directors in high-paced environments. Based in Abu Dhabi or willing to relocate. Deep knowledge of productivity and AI tools (e.g., Motion, Notion, Reclaim, Superhuman, Google Workspace). Strong track record in calendar management, strategic scheduling, and executive meeting preparation. Excellent written and verbal communication skills; English fluency required, Arabic is a plus. High level of ownership, follow-through, and independent decision-making. Ability to manage up, across, and down with professionalism and clarity.
