Check for refrigerant or oil leaks (visual + leak test). Inspect oil separator level and oil heater functionality. Inspect condenser fan contactors for wear or damage. Verify tightness of electrical connections. Inspect for unusual noise and vibration. Check general mechanical and structural condition of unit. Perform preventative check on flow proving devices. Ensure proper lock-out/tag-out (LOTO) procedures where applicable. Clear and dispose of any maintenance-related debris. Submit a detailed service report highlighting all parameters, deficiencies, and observations. Minor Service (3x annually): Consult client/FM for any operational issues. Adhere strictly to customer and vendor safety guidelines. Inspect and record control panel conditions and fault logs. Verify chilled water flow and temperature/pressure readings. Inspect refrigerant charge (via sight glass). Check oil level (sight glass), oil temperature, and pressure. Validate condenser fan performance and noise/vibration levels. Assess unit’s capacity control function. Inspect unit’s overall health visually. Record all operational parameters and submit a report with findings. Evaporator Coil Cleaning (4x per year);Coordinate access with FM/customer. Clear and clean condensate drains (if required). Apply approved chemical solution to coil surfaces. Rinse coils thoroughly with water. Clean and restore surrounding work area. Condenser Coil Cleaning (4x per year);Inform FM/customer before starting work. Apply coil cleaning chemicals and allow proper soak time. Rinse coils completely using appropriate water pressure. Ensure work area is cleaned post-maintenance. Emergency Response Requirements Priority Response Time Description P1 – Emergency Within 1 hour System-critical failure (e.g. chiller shutdown, water leakage) P2 – Urgent Within 2 hours Issues posing safety risk, equipment damage, or disruption P3 – Expedited Within 8 hours Non-critical issues that require swift action P4 – Scheduled Within 24 hours Routine or non-urgent issues (requiring prior approval if chargeable)Note: Phone-based technical support must be provided immediately to the FM or security team if required. Reporting & Documentation Pre-Contract Equipment Condition Report (mandatory before contract start) Service Reports for each PPM visit within 3 working days Breakdown Reports within 24 hours of incident Final AMC Summary Report upon contract closure All reports must include: Visit date/time, checklist, parameter reading Photos (before and after), issues noted Corrective actions taken or recommendations Technician name and HOAM/FM signature.
