Sales Administrator - Emirati Talent - Immediate joiners only Sales Administrator - Emirati Talent - Immediate joiners only Sales Administrator - Emirati Talent - Immediate joiners only Job Purpose The Sales Administrator plays a critical role in supporting the sales team by ensuring seamless administrative operations, maintaining accurate records, and facilitating effective sales processes. Specifically, this role involves providing exceptional administrative support to sales representatives, enabling them to focus on high-value activities such as building customer relationships and closing deals. By maintaining accurate and up-to-date sales records, the Sales Administrator helps the sales team track progress, identify trends, and make informed decisions. Additionally, the Sales Administrator facilitates effective sales processes by coordinating sales activities, managing sales-related documentation, and ensuring compliance with sales procedures. By delivering high-quality administrative support, the Sales Administrator contributes to the overall success of the sales team and helps drive business growth. Responsibilities Procurement and Supply Chain Management: • Sending Proposals and Follow-ups with Clients: Develop and send proposals to clients, ensuring that all requirements and specifications are met. Follow up with clients to address queries, negotiate terms, and close deals. • Suppliers' Registrations: Manage supplier registrations, ensuring that all necessary documentation and information are collected and verified. • Requesting and Collecting Supplier Quotes: Request quotes from suppliers, evaluate and compare prices, and collect quotes for further processing. • Initiation of Orders with Suppliers and Follow-ups: Create and initiate purchase orders with suppliers, ensuring that all terms and conditions are met. Follow up with suppliers from order creation to delivery, ensuring timely receipt of goods and services. • Creating and Issuing Purchase Orders: Create and issue purchase orders to suppliers, ensuring that all necessary details are included. • Tracking PO Approvals: Track purchase order approvals, ensuring that all managers are informed and approvals are obtained in a timely manner. Record Keeping and Contract Management: Maintaining Sales and Purchasing Records: Maintain accurate and up-to-date records of sales and purchasing transactions, ensuring that all documentation is complete and easily accessible. Supporting Contract Preparation and Renewal Reminders: Support the preparation of contracts, ensuring that all necessary terms and conditions are included. Provide reminders for contract renewals, ensuring that all stakeholders are aware of upcoming deadlines. Technical Skills: SAP Experience: Utilize SAP software to manage procurement and supply chain processes, ensuring seamless integration with other business systems. Occupational and workplace Health and Safety responsibilities: In addition to all job specific responsibilities, all employees are required to adhere to all the company’s health, safety and environmental (HSE) policies, procedures, practices, and relevant legal and statutory health, safety and environmental requirements and obligations. All employees are personally responsible for familiarizing themselves with these policies, procedures, practices, updates, etc. The company’s HSE department regularly updates existing and introduces new policies, procedures and practices and each employee is personally responsible for ensuring they stay updated and compliant with all such updates and new additions. Information Security responsibilities: - Comply with the company’s Information Security Policies - Be aware of and fulfil their information security responsibilities - Ensure whoever handles sensitive company information has taken the Secur Qualification Bachelor’s degree in business administration, Sales, or related field. Proven 2 – 4 experiences as a Sales Administrator or similar role. Experience with SAP or other ERP systems. Experience and skills: Strong organizational and time management skills. Excellent communication and interpersonal skills. Proficiency in Microsoft Office, particularly Excel, Word, and Outlook. Ability to work in a fast-paced environment and prioritize tasks effectively. Strong attention to detail and accuracy. Experience with SAP or other ERP systems. Familiarity with contract management and procurement processes. Soft Skills: Problem-solving and analytical skills. Adaptability and flexibility. Ability to work independently and as part of a team. Effective communication and negotiation skills.
