Role Overview: The Executive Assistant will provide comprehensive support to the firm’s senior executives. This role involves managing day-to-day operations, handling confidential matters, and coordinating a variety of administrative tasks. The ideal candidate will possess exceptional multitasking skills, attention to detail, time management, and the ability to anticipate senior executive’s needs. Key Duties & Responsibilities: Manage and coordinate schedules, including meetings, appointments, and travel arrangements. Serve as the primary point of contact between the executives and internal/external stakeholders. Screen and prioritize emails, phone calls, and correspondence. Organize and prepare for meetings, including setting agendas, gathering documents, taking minutes, and following up on action items. Plan, book, and coordinate complex domestic and international travel, accommodation, and itineraries for the Managing Partner. Draft, review, and edit presentations, reports, and communications for the senior executives. Handle sensitive and confidential information with discretion and ensure compliance with privacy and security protocols. Assist with various projects, ensuring timelines are met and tasks are completed effectively. Process and track expense reports, invoices, and reimbursements. Assist with the coordination of office-wide events and functions, and support the senior executive’s office with day-to-day operational needs. Maintain relationships with clients, partners, and key business contacts on behalf of the senior executive. Conduct research and provide background information for meetings or presentations, as requested. Qualifications & Experience: Bachelor’s degree in Business Administration, Communications, or a related field preferred. Minimum of 6 years of experience as an Executive Assistant, ideally supporting C-level executives or senior leadership. Strong proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and other business software. Exceptional organizational, communication, and interpersonal skills. Ability to manage multiple tasks and prioritize workload effectively. Strong problem-solving abilities and attention to detail. Discretion and confidentiality are critical for this role. Ability to work independently and handle high-pressure situations with professionalism. Excellent time management and decision-making skills. Flexibility to adjust to the Managing Partner's changing needs and work schedule. #J-18808-Ljbffr
