Position Summary & Scope The Social Manager to the Vice Chairman and Managing Director (VCMD) plays a pivotal role in managing the social engagements, contacts, corporate outreach, and events pertinent to the VCMD's sphere. This role involves coordinating with internal and external stakeholders to ensure seamless communication and organization of social gatherings and events. Additionally, the role will require to manage VCMD’s calendar and provide administrative support including organizing meetings with important external personalities, travel management, liasoning with local contacts etc. The role will also support the broader corporate communication efforts at BCCL to ensure strategic messaging and organizational visibility across internal & external stakeholders. The role holder should possess strong organizational skills, proficiency in data management systems, stakeholder management capabilities, and the ability to represent the VCMD professionally at various social functions. Areas of Responsibility (Key Result Areas) Contact Management System: Develop & maintain a comprehensive system for managing VCMD’s contacts, utilizing MIS tools like Excel or Power BI dashboards (if applicable) and demonstrate proficiency in Microsoft Office Suite applications. Coordination with Business Teams: Liaise with various business teams internally (Brand, Editorial, Response etc.) and externally to keep the VCMD updated about upcoming events and significant social happenings. Event Information Gathering & Coordination: Consolidate information about all Times of India led events including gathering details like invite lists, seating arrangements, and logistical specifics. Proactively follow-up with all required stakeholders to ensure accuracy. Event Invitations & Briefings: Prepare and consolidate invitation lists for events, parties, and social gatherings on behalf of the VCMD ensuring alignment with his preferences and objectives. Additionally, provide relevant support in drafting high-quality briefing notes summarizing key information & potential talking points for VCMD at these events to ensure optimal preparedness. Corporate Communication & Branding Initiatives: Liaise with Brand teams to ensure consistent messaging across media interactions, public relations activities, and branding initiatives. Act as a liaison with external media, PR agencies, and industry influencers to enhance BCCL’s corporate visibility and positioning. Curate relevant industry insights, media intelligence, and competitive analysis to inform corporate communication strategies. Collaborate with internal teams on executing branding campaigns, high-profile corporate events, and strategic media initiatives. Support internal communication initiatives, ensuring that key organizational updates, leadership messages, and strategic priorities are effectively communicated to employees through structured channels such as town halls, newsletters, and internal branding efforts. Relationship Management: Foster and maintain relationships with key figures in the VCMD’s social sphere. This includes industry tycoons, business leaders, distinct dignitaries from arts, politics, sports, entertainment etc. and potential partners. Engage in stakeholder management activities to enhance the VCMD's network. Event Attendance and Chaperoning: Physically attend key events and social functions, serving as a chaperone for the VCMD when necessary, and facilitating connections with relevant individuals to initiate meaningful engagements. This may also involve managing logistics, facilitating introductions with relevant individuals, and handling any unforeseen situations. Calendar Management: Efficiently manage the VCMD's calendar, including scheduling appointments, meetings, and events, and proactively coordinating with internal and external stakeholders to ensure optimal time utilization. Administrative Support: Act as the primary point of contact (SPOC) for administrative tasks related to the VCMD's office, including organizing meetings with important external personalities, coordinating travel arrangements, and managing correspondence. Accompanying VCMD on Tours: Accompany the VCMD on tours, business trips, and visits to various locations (both domestic and international) providing logistical support, scheduling assistance, and acting as a liaison with local contacts. Crisis Management: Be prepared to handle crisis situations or emergencies that may arise during official engagements or travel, demonstrating poise, resilience, and effective decision-making under pressure. Protocol and Etiquette: Ensure adherence to protocol and etiquette standards in all interactions and engagements involving the VCMD, representing the company's image and values effectively.
