Executive Officer - Office of the Chief Finance Officer Financial Services has an exciting opportunity for a temporary AO4 Executive Officer to join their team. We are looking for a motivated and detail-oriented professional with a passion for supporting executive leadership. To be successful in this role the candidate should be proactive, self-driven, and able to work autonomously, with strong communications skills, organisational and time management skills. Your Role
Key responsibilities: - Providing high level, confidential secretarial support, including accurate diary management to the Executive Director, and Directors of Financial Services, ensuring forward planning of regular meetings and provision of supporting documents.
- Complete ad-hoc duties for the Executive Director, Directors and Managers of Financial Services and use a high level of initiative to resolve issues across the branch regarding assets, stationery, room bookings, and general office functions.
- Work autonomously using a high level of initiative and self-motivation to assist in the efficient and effective management of the office and resolve issues.
- Undertake purchasing, financial services and human resource support for onboarding and offboarding staff members.
- Handle confidential information with discretion and professionalism.
About You
Technical skills, abilities and cultural capability: - Highly developed communication skills both verbal and written.
- Experience in executive support requirements including diary management, meeting coordination, room bookings, and managing travel arrangements.
- Good organisational, interpersonal and time management skills.
- Ability to remain calm under pressure and maintain professionalism in any situation.
- Ability to work autonomously and as part of a team collaborating with others at various levels across and outside the organisation.
- Experience in managing correspondence as required and familiarity with executive correspondence processes.
- Thorough knowledge in the use of the Microsoft Office suite (such as Teams, PowerPoint, OneNote, etc.) and a capacity to quickly master new applications and programs.
- Knowledge of Corporate Card use and responsibilities, or a willingness to learn.
- Exercise judgment, discretion, and initiative in decision-making by identifying and anticipating potential problems with tasks and taking appropriate steps to mitigate risks.
