Responsibilities : Purchasing & Procurement Operations Check, review and process Purchase Orders (PO). Track orders and ensure timely delivery of goods, receiving, and invoicing. Match supplier’s invoices with supporting documents such as PO & Delivery Orders (DO). Liaise and negotiate with vendors on required products/services on payment terms. Compare and evaluate pricing proposals from vendors. Make data entries for suppliers’ invoices and verify quantity, unit cost. Confirm and verify discrepancies in supplier’s invoices & DO with PO. Follow up & ensure Credit Notes (CN) have been received for goods returned or overbilled. Verify total monthly purchase invoices in the system. Housekeeping of documents in the shared drive. Keep track of the vendor’s contract terms. Logistic Coordination Obtain and evaluate quotes based on cost and arrival time. Monitor shipments and update the team for any incoming/delays. Prepare warehouse receipts before shipment arrival in the warehouse. Liaise with suppliers for any discrepancies and damages. Work closely with suppliers’ shipping teams for any shipment-related queries and actions to take. Customer Delivery Management Monitor deliveries and returns through delivery group chat. Ensure that all DOs are scanned in the shared drives by the warehouse team. Verify the invoices (delivery team) charges before submitting to the finance team to process. Work with the customer service team on any after-service follow-up. Inventory Control Work closely with the warehouse team on maintaining stock lists. Ensure inventories are monitored weekly. Spare parts to dispose of must be accounted for and get approval to dispose. Monitor loan items must be returned in good condition and cleaned before being put away. Prepare weekly inventory lists to share with the sales team. Coordinate stock-takes with warehouse and sales teams. Work with the Store Manager and Marketing team for any promotional campaigns and new product launches. Prepare reports and presentations for updates with the Management. Pricing Strategy and Promotions Management Understand brand pricing calculation and keep up to date with changes to brand’s price list. Ensure the retail selling prices are correctly keyed into the system. Ensure sales orders follow the retail selling price and margin are maintained across the brands. Review brand’s price factors yearly. Requirements: Degree in Supply Chain Management or related field. 2 - 3 years of experience in supply chain management or related field. Proficient in ERP systems, SCM software, and WMS software. Proficient in Google Suite and Microsoft software. Excellent communication and negotiation abilities. Strong analytical and problem-solving skills. Ability to manage multiple projects simultaneously and work under pressure.
