Job Overview: Here's your chance to step into the role of Event Operations Manager (Contractual role) at Global Village, part of Dubai Holding Entertainment. In this position, you'll take on key responsibilities that include:
- Events Manager will act as a project lead, managing all aspects of planning, execution and delivery of the projects he/she handles, and ensuring successful events and activations.
- Create Project Plans the events and activations of Global Village Season 29 and working with the team to ensure best delivery of the projects.
- Managing allocation of manpower involved in events, such as concerts, on-site activations, external activations, and events. Ensuring all are well allocated for their specific jobs.
- Liaising between Global Village and external agencies for meeting timelines and ensuring smooth flow of events and activations.
- Liaising between Global Village's various departments and external agencies to ensure all internal processes and standards are met at all times and all requirements are delivered.
- Evaluating all projects and activations in order to ensure compliance with highest Health, Safety and Environment (HSE) standards in accordance to Global Village's policies.
- Ensuring all projects and activations obtain required Permit to Work (PTW) documents and are abiding to Global Village's rules and regulations.
- Applying for all external permissions needed for the operations of the various events and activations.
- Attending meetings with external agencies for briefings and alignments.
- Reporting all events and activations prior, during and after occurrence.
- Proactively looking for and recommending new and innovative events and activations that would support in Global Village's mission and vision.
- Supervising external commercial activations, including but not limited to commercial shooting, brand activations as product placements, and ensuring flow is as per the agreed contracts with Global Village.
- Prepare the Events calendar for GV Seasons and execute the plan
- Deliver all season events and ensure site visits with suppliers before awarding the RFP
- Follow Procurement process before, during and after awarding the suppliers
- Communicate with the awarded suppliers to discuss the designs and concepts.
- Present the final designs and concepts to the DOA set by client
- Manage the projects with all involved departments to make sure of no difficulties during implementation
- Getting the technical drawings approved by the concerned departments
- Manage the production of all the structures
- Supervise the internal team during the build-ups phase
- Work with the third certified party for proof checking the build-ups Work on the PO's and invoices
- Follow up on the suppliers payments
- Work on the Events lessons learned
- Delivery of Season Concerts, including Propose the artists names and dates for the Season according to the budget set
- Getting the list of concerts approved by the DOA
- Work on the contract with the supplier and GV
- Work closely with Finance Department to make sure all payments are done
- Work with different suppliers on the Technical Riders, F&B, Posters, Mojo and any additional security required
- Work with the creative designer to get the posters approved by artists and GV
- Work with the marketing team on the announcements of each concert
- Work with on the radio announcements
- Managing the VIP's wristbands and seating allocation
- Manage the operations of the concerts
- Work on the concerts lessons learned
- Support in setting up the budget for events and concerts to be followed and tracked throughout the season
- Graduate in Events Management/Marketing Business Management or related field.
- A minimum 3 years of relevant and demonstrated experience with proven track record in events, concert and on-ground activations.
- In-depth knowledge of events and concerts and good network with event production companies and music production houses
- Ability to handle the partners/suppliers.
- Strong experience in Events Technical Setup and stage management.
