Position Overview: We’re looking for a smart, self-motivated Office Assistant who will be responsible for ensuring the smooth daily functioning of our office and training labs. This role will involve managing administrative tasks, preparing documents, coordinating office operations, and maintaining a productive environment for both the office staff and trainees. Key Responsibilities:

  • Document Preparation & Management: Prepare and organize documents, reports, presentations, and training materials. Ensure all documents are accurate, up-to-date, and accessible.
  • Office Organization: Maintain an organized office environment, including office supplies, equipment, and resources necessary for the smooth functioning of both office and training labs.
  • Scheduling & Coordination: Manage calendars, arrange meetings, appointments, and training sessions. Coordinate with internal teams and external stakeholders for scheduling purposes.
  • Communication: Serve as the primary point of contact for both office staff and trainees. Handle phone calls, emails, and other correspondence efficiently and professionally.
  • Training Lab Setup & Maintenance: Ensure training labs are set up with all required equipment, materials, and resources. Help troubleshoot any technical issues and assist with setting up for training sessions.
  • Inventory Management: Keep track of office and lab supplies, order necessary items, and ensure there’s no shortage of materials for daily operations.
  • General Administrative Support: Provide general administrative support to the office and training team, including data entry, filing, and document retrieval.
  • Assist with Events & Meetings: Help organize office events, workshops, and meetings, ensuring all logistics and materials are prepared in advance.
  • Problem Solving: Anticipate office needs and proactively solve problems to ensure minimal disruption to daily operations.
Qualifications:
  • Proven experience in office administration or similar roles.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and general office equipment (printers, copiers, etc.).
  • Tech-savvy and comfortable working in a fast-paced, tech-driven environment.
  • Ability to work independently and take initiative with minimal supervision.
  • Strong attention to detail and problem-solving abilities.
  • Positive attitude and a proactive approach to tasks.
