Responsibilities: · Personnel Records Management : Maintaining both physical and digital records of employees, such as employment contracts and leave requests · Database Updates : Keeping internal databases up-to-date with new hire information and other relevant data · Policy Creation : Developing and distributing guidelines and FAQ documents about company policies · Recruitment Assistance : Publishing job ads, scheduling interviews, and assisting in the hiring process. · Payroll and Benefits : Gathering payroll data and responding to employee inquiries about benefits. · Training and Development : Creating training materials and organizing training sessions for employees. · Greeting Visitors : Welcoming guests and directing them to the appropriate person or department · Managing Phone Calls : Answering, screening, and forwarding incoming calls · Handling Queries : Addressing inquiries and complaints via phone, email, and in-person · Mail Management : Receiving, sorting, and distributing daily mail and deliveries · Meeting Room Coordination : Managing the availability and scheduling of meeting rooms · Office Security : Ensuring safety procedures are followed and controlling access via the reception desk · Administrative Support : Assisting with tasks like filing, photocopying, and maintaining office supplies Skills:
- Organizational Skills : Ability to manage multiple tasks and maintain accurate records
- Communication Skills : Strong interpersonal skills to effectively communicate with employees and management
- Knowledge of HR Policies : Familiarity with HR policies, labor laws, and best practices
- Attention to Detail : Ensuring accuracy in data management and compliance with company policies.
- Education : A Bachelor's degree in Human Resource Management or a related field is often preferred
- Experience : Relevant experience in HR and administrative roles, typically around 3-5 years
