We are looking for an experienced Planning Specialist with expertise in Microsoft Project (MSP) to join our team, specializing in workspace design and build projects. The ideal candidate will focus on planning and scheduling for interior fit-outs and related projects, ensuring timely delivery, efficient resource allocation, and alignment with project goals. Additionally, this role involves hands-on involvement in building new templates, Standard Operating Procedures (SOPs), and guidelines to implement or modify existing processes and workflows, enhancing operational efficiency. Key Responsibilities:
- Develop and manage detailed project schedules using Microsoft Project (MSP), specifically for workspace design and fit-out projects.
- Collaborate with design, production, and delivery teams to understand project requirements and establish clear timelines.
- Coordinate with architects, interior designers, contractors, and vendors to align schedules with dependencies and milestones.
- Monitor project progress, ensuring alignment with key deliverables such as material procurement, on-site execution, and client approvals along with design and costing functions.
- Identify potential risks related to resource allocation, timeline clashes, or site constraints, and develop mitigation plans.
- Generate detailed progress reports and dashboards for internal teams and clients, providing visibility into project timelines and forecasts.
- Participate in project planning meetings, facilitating discussions to resolve scheduling conflicts and streamline workflows.
- Design and implement new templates, SOPs, and guidelines to optimize processes and workflows in planning and execution.
- Analyze existing processes, recommending and implementing modifications to improve efficiency and project outcomes.
- Ensure adherence to industry standards and best practices in project planning for design and build projects.
- Analyze historical project data to improve planning accuracy and efficiency for future projects.
- Bachelor’s degree in Architecture, Interior Design, Project Management, Engineering, or a related field.
- Proven experience as a Planning Specialist, Scheduler, or Project Planner within the design and build, architecture, or interior fit-out industry.
- Advanced proficiency in Microsoft Project (MSP) for creating and managing schedules.
- Strong understanding of project management principles, particularly in the context of design and build projects.
- Hands-on experience in developing and implementing templates, SOPs, and guidelines to streamline processes and workflows.
- Excellent organizational and analytical skills to handle complex, multi-stakeholder projects.
- Effective communication and collaboration skills to liaise with diverse teams, including designers, contractors, and clients.
- Ability to identify and resolve scheduling conflicts and resource allocation challenges.
- Certification in project management (e.g., PMP) is a plus.
- Familiarity with interior design and construction workflows, materials, and vendor coordination is highly desirable.
