Retail Operations Executive (BinSina Pharmacy)

JOB BRIEF: As a Retail Operations Executive, you will be responsible for handling public relations issues with local authorities like Civil Defense, Economic Dept., and Health authorities. You will also coordinate with other divisions to collect all the documents to submit them to the authorities for activation and renewal of required services for all BinSina existing and upcoming stores to ensure the validity of all legal documentation. KEY ACCOUNTABILITIES:
  • Prepare and maintain a list of stores’ legal documents with expiry dates for Trade License and Health License across all Emirates (DHA, MOH, DOH) and all other legal documents which require renewals to communicate with BU & Admin. to ensure timely renewals.
  • KPI: Timely renewal of all legal documents, Number of expired legal documents
  • Compile required documents and arrange to make necessary payments for CD, DED, Health licensing for renewal and activation to ensure service availability in all BinSina stores.
  • KPI: Accuracy of documents, Timely Payments for services in all BinSina Stores
  • Prepare official letters when necessary to arrange and speed up health license approvals or amendments, police permits, account cancellations, home delivery approvals, training programs, and other issues with DED and Health authorities.
  • KPI: Accuracy of documents, Timely documents renewal, amendment, cancellation
  • Store opening and closing necessary actions regarding licensing and inspections required from DED and Health Authorities. Subscription or cancellation of services, avoiding extra payments to closed stores.
  • KPI: Opening of new stores on time, Cost control
  • Pharmacists Licenses registration, cancellation, and transfers between stores.
  • KPI: Effective and smooth operation
  • Create Purchase Orders for all payments and invoices related to DED, Health authorities, and other services.
  • KPI: Timely submission of payments, Avoiding fines from delayed payments
  • Support reporting manager on all weekly and monthly reports and other tasks.
  • KPI: Timely and accuracy of submitted reports and tasks.
  • Supervise direct reports, ensuring all work responsibilities are done efficiently.
  • KPI: Team performance
EXPERIENCE & QUALIFICATION: Bachelor’s degree in business administration, retail management, marketing, or a related field. Minimum 1-3 years of experience in retail operations or a related field. SKILLS, KNOWLEDGE & ABILITIES: Job Specific: Fluent and clear communication (spoken and written) in English and Arabic as one of the requirements from the health authority. Communication and negotiation skills. Generic Skills: Time management, coordination, teamwork.
