Job Description: Russian-Speaking Receptionist cum Secretary Company: Tamal Trading and Logistics DMCC Location: Dubai, UAE We at Tamal Trading and Logistics DMCC are seeking a dynamic and professional Russian-Speaking Receptionist cum Secretary to join our team. The ideal candidate will be responsible for a range of front-office, administrative, and secretarial tasks to ensure the smooth operation of our office and provide excellent service to our clients and guests. - Receptionist Duties:
- Greet and welcome visitors, clients, and guests with a positive and professional attitude.
- Manage the reception area, ensuring it is clean, organized, and presentable at all times.
- Answer and direct incoming phone calls and take accurate messages when required.
- Respond to emails, inquiries, and requests with promptness and professionalism.
- Schedule and confirm appointments and meetings.
- Administrative Duties:
- Assist in daily administrative tasks to support the overall office operations.
- Maintain a professional and organized filing system (both physical and electronic) for easy retrieval of documents.
- Keep records of company documentation, and ensure accurate data entry and tracking.
- Handle basic office accounting tasks, such as managing invoices, receipts, and office expenses.
- Secretarial and Assistant Duties:
- Support senior management in preparing documents, reports, and presentations.
- Arrange and coordinate internal and external meetings, conferences, and appointments.
- Take minutes during meetings as needed and ensure follow-ups on action items.
- Manage and maintain executive calendars, scheduling appointments, and making travel arrangements if necessary.
- Office Management:
- Supervise the office environment, ensuring it is well-maintained, organized, and stocked with necessary supplies.
- Oversee office drivers, monitoring their schedules and tasks as needed.
- Coordinate with cleaning staff to maintain cleanliness and hygiene in the office.
- Prepare and serve refreshments to guests and ensure all meeting setups are well-arranged.
- Monitor inventory of office supplies and coordinate orders when needed.
- Languages: Fluent in Russian and English (both written and verbal).
- Experience: 2+ years of experience in reception, administration, or secretarial roles.
- Skills: Strong organizational and time-management skills, attention to detail, ability to multitask.
- Professionalism: A friendly, welcoming attitude with excellent interpersonal and communication skills.
- Computer Proficiency: Familiarity with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Additional Qualifications: Knowledge of basic office management procedures is a plus.
- Location: Office-based position in Dubai, UAE.
- Working Hours: Full-time, 5 days a week.
