Position Overview: As a Front Desk Administrator at Banke International Properties, you will play a key role in ensuring the smooth operation of the office and providing top-notch customer service. This role is ideal for someone who thrives in a fast-paced environment, has a professional and approachable demeanour, and is highly organized. You will be the first point of contact for clients, visitors, and staff, helping to create a welcoming atmosphere for everyone who enters our office. Key Responsibilities:
  1. Reception Duties:
    • Greet and welcome clients, visitors, and guests in a professional and friendly manner.
    • Direct clients to the appropriate departments or real estate agents.
    • Answer and direct incoming phone calls, take messages, and respond to general inquiries.
    • Manage appointments, schedule meetings, and coordinate calendars for office staff and management.
  2. Administrative Support:
    • Perform general office duties such as filing, photocopying, faxing, and scanning documents.
    • Maintain office supplies inventory and place orders as needed.
    • Assist with the preparation of documents, presentations, and reports as required.
    • Handle incoming and outgoing mail, packages, and deliveries.
    • Provide administrative support to the sales team and other departments as needed.
  3. Customer Service:
    • Assist clients and agents with inquiries regarding properties, office processes, and services.
    • Provide excellent service to both internal staff and external clients, maintaining professionalism at all times.
    • Help create a positive and professional first impression of Banke International Properties to clients and visitors.
  4. Office Management:
    • Ensure that the front office area is clean, organized, and welcoming.
    • Monitor and maintain office equipment, reporting any issues to the Operations Manager.
    • Assist with scheduling and coordinating office events or meetings as necessary.
    • Operate office equipment, including phone systems, printers, and computers.
    • Maintain accurate records of visitors and appointments in office management systems.
    • Ensure all correspondence, documents, and records are accurately stored and accessible.
Qualifications & Skills:
  1. Education & Experience:
    • High school diploma or equivalent; Associate's or Bachelor's degree preferred.
    • Previous front desk or administrative experience in a real estate or professional office environment is a plus.
    • Experience working with international clients or in a multicultural environment is an advantage.
  2. Skills & Abilities:
    • Strong communication skills, both written and verbal.
    • Excellent organizational and multitasking abilities.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment (printers, phones, etc.).
    • Ability to maintain a professional appearance and demeanour at all times.
    • High attention to detail and ability to handle sensitive information confidentially.
    • Customer service-oriented with a proactive attitude.
    • Ability to work effectively in a team and independently.
