Responsibilities: Facilities Management Conduct regular inspections of building facilities and equipment, identifying and reporting issues for resolution. Coordinate routine maintenance and repairs with contractors and vendors such as HVAC systems, lifts, plumbing, and electrical systems. Monitor and restock facilities consumables, including pantry and washroom supplies. Perform minor repairs (e.g., changing light bulbs, fixing locks) as needed. Assist in planning and implementing preventive maintenance schedules to minimize downtime. Ensure cleanliness and functionality of office spaces, meeting rooms, and shared facilities. Propose and support initiatives for energy and resource conservation. Workplace Safety & Health Conduct workplace safety inspections to identify hazards and report non-compliance issues. Assist in updating Risk Assessments (RAs) and ensuring they align with statutory requirements. Coordinate and manage Permit-To-Work (PTW) forms for high-risk tasks such as working at heights. Support the Compliance & Facilities Manager in implementing workplace safety initiatives. Support the development and implementation of safe work procedures. Fire Safety Perform regular checks on fire safety equipment (e.g., extinguishers, alarms, emergency exits) and report any issues. Assist in organizing fire drills and ensuring staff are familiar with evacuation procedures. Liaise with external vendors for the maintenance and inspection of fire safety systems. Assist in ensuring fire safety compliance during audits or inspections by regulatory bodies (e.g., SCDF) Vendors & Contractor Coordination Liaise with contractors for cleaning, pest control, security, and waste management services. Request quotations for maintenance and repair work and ensure timely completion. Monitor vendor performance to ensure service quality and adherence to agreements. Track contract timelines to ensure renewals or transitions happen without service disruption. Ad-Hoc Duties Support the Compliance & Facilities Manager in projects such as renovations or facility upgrades. Perform other administrative or operational tasks as assigned. Requirements: Minimum ITE qualification in Building Services, Facilities Management, or related field. At least 1-2 years of experience in facilities or safety management. Familiarity with workplace safety and fire safety regulations in Singapore. Strong organizational and multitasking skills. Effective communication skills for coordinating with vendors and internal stakeholders. Basic proficiency in MS Office (e.g., Word, Excel, Outlook) or similar tools. Familiarity with facility management tools or software (e.g., CMMS, BMS) is an advantage. Certifications such as Fire Safety Manager (FSM) or knowledge of the Workplace Safety & Health Act are advantageous but not mandatory. Ability to perform minor hands-on repair tasks.
