The role is competitively remunerated role with access to not-for-profit salary sacrificing up to $18,500 per annum. The position is located in Bowral, NSW and the successful candidate will have the option to work hybridly from the office and as well as remotely (up to 2 days per week). About the Role This is an exciting permanent ongoing opportunity for a committed, caring and experienced Team Administrator; reporting to the Executive Assistant to the Chief Executive Officer, you will be responsible for the following:
- Administrative Support
- Provide day-to-day administrative assistance to the Head of Operations, Head of Patient Programs, and Head of Policy and Public Affairs.
- Manage calendars, including scheduling meetings, interviews, and appointments and coordinating travel arrangements for the team.
- Assist with preparing and formatting documents, reports, presentations, and other materials as required.
- Organise and maintain electronic and paper-based filing systems, ensuring documents are accessible and up to date.
- Meeting Coordination
- Organise and schedule meetings, including preparing agendas, taking minutes, and distributing relevant materials in a timely manner.
- Liaise with internal and external stakeholders to ensure smooth communication and coordination for meetings and events.
- Assist in preparing for key meetings, including assembling necessary materials and providing logistical support.
- Communication and Correspondence
- Act as a point of contact for the Heads of Operations, Patient Programs, and Policy and Public Affairs, handling incoming communications professionally and efficiently.
- Draft and manage correspondence, emails, and other communications as required, ensuring accuracy and professionalism.
- Coordinate internal communications between departments, ensuring messages are conveyed clearly and timely.
- Event and Travel Coordination
- Arrange travel and accommodation for the team as needed, ensuring budget and company policy adherence.
- As required, assist with planning and coordinating team events, workshops, or off-site meetings.
- Support the organisation of conferences, presentations, and other public affairs or patient program-related events.
- General Office Duties
- Assist with day-to-day administrative tasks such as photocopying, scanning, data entry, and managing office mail.
- Support the Executive Assistant to the CEO with various tasks as required, including managing special projects or coordinating initiatives.
- Demonstrated experience in an administrative or office support role.
- Strong organisational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills, including drafting professional correspondence.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
- Strong attention to detail and working efficiently in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Previous experience supporting senior management teams or multiple stakeholders in the not-for-profit, healthcare, or transferrable sectors would be highly regarded.
