Job Category: Administration and Office, Community Services and Development Job Description About The Role We are seeking a dedicated Administrative Assistant to enhance the operations of our SUSD service. This role involves providing high-quality reception and administrative support, contributing to the continual improvement of our service. You will perform general clerical, office management, receptionist, and project-based tasks in consultation with the Service Manager, ensuring smooth and efficient service delivery. Key Responsibilities Reception Duties:
- Answer incoming calls politely and professionally.
- Respond to general enquiries accurately, direct callers, and take messages.
- Greet and assist all visitors.
- Maintain a neat and tidy reception and office area.
- Support with intake, referral and panel as required.
- Manage incoming and outgoing mail and courier packages.
- Perform general clerical duties: word processing, photocopying, faxing, mailing, scheduling meetings, and filing.
- Prepare meeting agendas and minutes.
- Assist with staff rosters, receipting, banking, and petty cash reconciliations.
- Complete maintenance requests and maintain records.
- Maintain key registers and inventories.
- Ensure adequate stationery supplies within budgetary guidelines.
- Support project-based work and data entry tasks.
- Relevant office administration qualifications or equivalent.
- Knowledge of standard office procedures.
- Excellent organisational skills and independent judgment.
- Good communication and interpersonal skills.
- Proficient in MS Office and internet research.
- Ability to work autonomously and as part of a team.
- Flexible in a changing environment.
- Experience in a not-for-profit organisation.
- Knowledge of relevant mental health agencies and services.
- National Police Clearance (no older than 6 months).
- A valid WA driver’s license.
- First Aid Certificate.
- Working with Children Check.
- Current National Police Clearance Certificate.
