1. POSITION VACANT: Director Finance and Administration, Reputed Non-Profit Organization, New Delhi 2. ORGANISATION BACKGROUND: Our client is a respected, well-endowed, non-profit organization committed to driving positive societal and economic transformations within India. 3. JOB DESCRIPTION/ RESPONSIBILITIES: Reporting to the Country Director, the Director- Finance and Administration (DFA) will be responsible for driving the overall financial and general administration policies, protocols and direction of the organisation. S/he will create, implement, and streamline financial and administrative processes and systems required to support the organization’s strategy and growth. The DFA will work closely with the leadership team with responsibility for assuring all regulatory compliances in India. The post-holder will be based in Delhi and lead the Finance & Administration teams. S/he will also work closely with the global team. Key Responsibilities: (A) Strategic (1) Play a leading role in compiling the organization’s budget and growth strategy; (2) Execute strategies to optimize sustainability & growth; (3) Ensure expertise and effectiveness across operating platforms; (4) Understand the organization’s vision and needs for financial planning and management across programmatic & functional goals; (5) Act as the financial visionary for the organization, providing the necessary financial and administrative support to the leadership team (both in India and the global headquarters) and program teams within the organization; (6) Participate in the organization’s strategic planning process as an integral member of the Senior Management team; Provide strategic recommendations based on financial analysis and projections as well as regulatory framework; (7) Build the roadmap for the organization’s financial sustainability and growth. Collaborate with stakeholders for successful roadmap deployment; (8) Align financial management and planning practices to the organization’s Board’s vision, India’s regulatory norms, statutory compliances, and evolving donor requirements (B) Operations & Compliances - Finance (1) Oversee the annual budgeting exercise and the implementation of budgets; Monitor progress routinely and present relevant operational metrics; (2) Manage money handling, accounting, and bank processes; (3) Manage day-to-day cash flow, including closely monitoring the use of funds by programs; (4) Establish and monitor investment strategies and policies in accordance with the organization’s strategy; (5) Manage day-to-day operations of the finance department, including approval and processing of expenditure, maintaining adequate financial records and systems, relationship management with banks, auditors, landlords and other vendors, and other routine administrative tasks; (6) Manage approval and processing of infrastructure and expenditure, maintaining adequate financial records and systems, relationship management with banks, auditors, landlords and other vendors, and other routine administrative tasks; (7) Maintain adequate internal controls to minimize risk within the operations of the finance and administration functions; (8) Ensure compliance with all internal policies, as well as statutory and regulatory requirements, including all responsibilities related to the Board of Trustees. (9) Ensure utmost compliances across all aspects related to FCRA compliances, CSR compliances, Taxation compliances, board related compliances, statutory audits and compliances; (10) Coordinate all statutory, donor as well as special audits; (11) Prepare and communicate periodic financial statements to all relevant stakeholders, including the Board and the Finance Committee; Publish annual reports. (12) Oversee financial reporting to funding organizations including the undertaking of financial monitoring and administrative visits for assuring organizational and statutory compliances, safety and health of people, systems of the organisation, etc.; (13) Collaborate with leadership to build an environment of collective responsibility and accountability. (C) Operational - General Administration (1) Lead all practices and day-to-day operations of the administration department, including but not limited to: (a) Overseeing day-to-day operations; (b) Developing and disseminating organizational policies viz administration; (c) Disbursing funds to managers; (d) Managing administrative budgets, and negotiating contracts and agreements with vendors, (e) Maintaining corporate relationships; (f) Monitoring operating expenses; (g) Liaising with programs and functions; (h) Updating executives on business performance; (2) Ensure day to day office arrangements including seating plan for all staff; (3) Ensure proper maintenance and insurance of office properties including building, office furniture and equipment, computers etc. through regular monitoring and upkeep; (4) Maintain records of all movable and immovable assets at central and state offices and ensure assets register and asset numbering is up to date; (5) Ensure travel/ tickets, cab/ taxi and stay arrangements of all staff and visitors as per travel requests; (6) Manage effectiveness and cost optimization for travel and lodging; (7) Manage rent renewals and new offices premises leases for effectiveness and cost optimization; (8) Events management and administrative support to all meetings/ conferences and official receptions; (9) Oversee and conduct administrative visits necessary for assuring organizational and statutory compliances, including optimum utilization, safety & health of people, systems of the organisation, etc.; (10) Design and implement effective, safe and budget friendly protocols and practices viz workspaces and infrastructure, travel, accommodation, transportation, goods and services on need basis. (D) People & Knowledge (1) Hire, train and manage the Finance & Administration team; (2) Guide and engage other staff/ team members outside of direct area of control to facilitate cross-department collaboration; (3) Build organizational financial planning and management capacity as well as General administration processes & efficiency; (4) Mentor the Finance and Admin teams for effective service and support to program needs; (5) Drive the Finance & Admin teams and leading performance reviews, to ensure an engaged, skilled, collaborative workforce; (6) Build and execute pro-active retention strategies for Finance & Admin teams within organizational policies. 4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES: Qualification and Experience (1) Applicants should be qualified CAs/ CPAs with a minimum of 12 years of experience in finance, accounting, budget control and reporting (including supervisory experience), preferably with the non-profit sector; (2) Applicants must have a strong understanding of various aspects of financial planning and management as well as general administration needed for implementing the internal Finance & Administration systems of the organization. Skills and Competencies (1) Ability to work under ambiguous, fast-evolving, high-pressure & growth-focused environments; (2) Strong analytical and problem-solving skills; (3) Technology savvy with the ability to manage and mine data for financial reporting and business decisions; (4) A team player with strong inter-personal skills and a collaborative and flexible work style; (5) Pro-active, hands-on manager with the ability to develop, motivate and lead a team of 8-10 staff in a dynamic team environment; (6) Effective communicator, with strong oral and written skills; (7) Strong service mind-set with demonstrated commitment to the social sector; (8) Strong demonstrated knowledge and skills of accounting and reporting software, tools, and frameworks; (9) Strong demonstrated experience of working with CSR donors, Boards of Directors, Auditory firms and legal experts for furthering and safeguarding organizational interests; (10) Strong collaborative and interdepartmental inclusive skills set; (11) Proven experience in leading by example and inspiring teams for excellence; (12) An ability to constantly educate oneself to be up to date with the latest financial and statutory advances; (13) Excellent written and verbal communication skills; sound representational and liaising abilities; (14) Familiar with the current technology trends and ability to use them to build business strategies; (15) Good analytical and problem-solving skills; (16) Strong budgeting skills; (17) Experience of implementing ERP solutions in Finance & Administration and exposure to the functioning of the non- profit sector would be a plus; (18) Ability to travel occasionally 5. COMPENSATION OFFERED: Gross compensation budgeted for the position is between INR 36 to 40 lacs per annum. The offer made to the selected candidate shall be commensurate with qualifications, experience, and salary history. 6.
