Roles & Responsibilities Perform secretarial and administrative support Plan and organise meetings, external visits and other departmental events Perform office and training facilities administration Upkeep training and office facilities including coordination of scheduled maintenance and upgrading works Provide administrative and logistical support including maintaining and updating of office assets and inventories Administer maintenance contracts, including renewal of contracts for office and training administration supplies and equipment, maintenance of facilities and renovation of premises Assist in the procurement and purchase of office supplies, equipment and other items and services including monitoring of their usage, conditions and stock levels, putting up recommendations, getting quotations, placing orders, raising purchase requisitions, processing payments and ensuring delivery and quality of products and services Assist in the disposal of assets and other items, ensuring proper documentation, etc. Perform staff administration Provide administration support on staff matters including processing of staff’s benefits, leave, claims, etc. and coordinating arrangements for onboarding of new staff Provide administration support on trainer matters including payment to trainers and related matters Perform training and other administrative functions Assist to coordinate and monitor departmental and training budgets including operating and capital expenditures Assist to generate and submit management and financial reports, including training statistics and expenditures/budgets Ensure proper documentation and governance including filing of documents, compliance with policies, regulations, etc. Process training subsidies and funding with relevant governmental agencies and institutions Assist to review and implement process and productivity improvements Undertake any other duties and tasks that may be assigned Requirements Degree/ Diploma Holder preferably with at least 1-2 years of relevant experience Good knowledge of Microsoft Office applications including Excel, MS Office Word and PowerPoint Detailed and meticulous with strong administrative skills Good verbal and communication skills Self-motivated, takes initiatives, resourceful and able to work independently as well as a team Able to work under pressure and in a fast-paced environment Good interpersonal skills to build and maintain strong working relationships with internal stakeholders and training providers #J-18808-Ljbffr
