Assistant to Support The Projects Team and Project Finance Team
The Assistant will support the Project Team (Project Team consists of: 2 Partners, 1 Senior Counsel, 1 Senior Associate and an Associate) and the Project Finance Team (Project Finance Team consists of: 1 Senior Counsel and 1 Senior Associate) and will report to the Dubai Office Coordinator. Ability to work flexible hours and provide regular out of hours support is necessary for this role.Software Used for Role

RESPONSIBILITIES
- Answering the main switch line, dealing with enquiries and relaying messages
- Making sure meeting rooms are set up for meetings
- Meeting and greeting clients as and when required
- Tea / coffee / water for clients
- Arranging catering as and when required
- Diary management to include arranging meetings and appointments
- Maintaining electronic files in iManage
- Formatting / reformatting various documents / agreements into house style
- Proof reading to ensure completed documents are accurate and in house style
- Checking defined terms and cross references etc. on project documents
- Completing first draft of engagement letters as required
- Inserting markup into deviation tables
- Collecting/collating/sending signature page packs for completed deals
- Drafting diagrams in Jigsaw
- Creating PowerPoints presentations
- Adding contacts to interaction
- Running redlines (lots of redlines)
- Collating project bibles as and when required
- Booking flights/hotel/sorting out visas as required
- Making restaurant reservations
- Assisting in the organisation of our yearly client event
- Arranging Fedex collections when required
- Provide backup support for the Office Coordinator in their absence
- Perform other adhoc duties as required
Billing – 3E
- Running proformas as required and on a monthly basis
- Editing proformas as marked up by partner
- Finalising proformas
- WIP reports as required by fee earner
