ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Approved company fleet (Company, Demo, Loaner, Airport & Operating Lease Vehicles) process by arranging comprehensive insurance for company cars.
  2. Preparation of essential documents for registration.
  3. Follow up on new car delivery as per its allocation against old vehicles and submit their acknowledgement in an appropriate form to the Finance Department.
  4. Update user details in TAMM system by maintaining copies of user ID and Driving License with their Mobile numbers.
  5. Ensure to upload all de-fleeted vehicles as used car stock by coordinating with the Finance Department.
  6. Cancel the comprehensive insurance for de-fleeted vehicles.
  7. Update all required information in Autoline to make it available for the company fleet:
    1. User Name & Title
    2. Registration & Sequence Number
    3. ID Number
    4. Mobile Number
    5. Department & Location
    6. Kilometers
    7. Book Value
  8. Receive NCB deals from branches and after confirming proper documentation, send the original to NCB Bank and file accordingly.
  9. Dispatch and receive green stickers, registration cards, spare keys, and registration plates for all company fleet via ARAMEX.
  10. Arrange Company Fleet Maintenance in an appropriate form duly approved by the Sales Planning & Administration Manager.
  11. Keep record of all insurance invoices for payments and credit notes to reconcile with the finance department.
  12. Maintain records/filing of company fleet of the Kingdom including spare keys, original registration cards & insurance certificates.
  13. Order and maintain day-to-day office stationery.
Maintain proper filing in line with the BMW Standards. Ensure to fulfill any task requested by your superior. 1. Quality and Assurance Tasks:
  1. Ensure the quality and integrity of the information emanating from the Sales Admin Department.
  2. Complete all tasks prior to principal deadlines.
  3. On-time reporting both internally and externally.
  4. Ensure accuracy of all data.
Skills:
  1. Good communication skills, understanding English both verbally and in writing.
  2. Knowledge of MS Office applications.
  3. Knowledge of various systems of JLR.
  4. Knowledge of Autoline Drive DMS system.
  5. Good time management skills.
