To handle all properties’ advertisements and listings by acting as CRM Admin and Layan Representative in relation to different Portals & Developers, generating more business leads and opportunities by attracting new clients to achieve the business objectives of LAYAN GROUP. DUTIES & RESPONSIBILITIES

CRM Administration:

  1. Create users on the system and distribute the temporary passwords accordingly.
  2. Ensure that the CRM users are verified.
  3. Manage the access of other users.
  4. Add available properties for sale/rent on the CRM with the approved criteria of listing.
  5. Review all additions done by other users prior to approving them for publication.
  6. Provide feedback by adding notes if the listings do not match the approved criteria.
  7. Add/Link the outside portals to the CRM.
  8. Publish the listings on portals and Layan’s website through CRM.
  9. Modify the listed properties’ descriptions in case of any changes in prices, offers, etc.
  10. Update the listed properties’ status based on updates from Finance/Property Management for property booking or deal closing.
  11. Refresh long-listed properties after checking their status with the Property Administration and/or responsible Agents.
  12. Deactivate the listing on CRM once the deal is closed.

Portals Relations & Administration:

  1. Act as the point of contact between Layan Group and all portals.
  2. Ensure that all listings done through CRM are valid and match the publishing criteria.
  3. Check the quality of the listings.
  4. Ensure that all listings are updated daily to maximize their usage, such as featured listings, signature listings, etc.
  5. Monitor the number of listings on portals daily to avoid any excess that might cause penalties for over usage.
  6. Generate statistics reports from each portal to analyze the impact of the company’s listings on generating new leads and business opportunities.
  7. Prepare comparisons between the different portals based on the generated reports.
  8. Submit reports to management with recommendations related to the usage efficiency of each portal.
  9. Attend training sessions conducted by portals for new features and updates.
  10. Coordinate and arrange training with portals for new joining Agents.
  11. Coordinate and arrange training with developers for new projects.

General Duties:

  1. Coordinate and arrange training at Real Estate Regulations Authority (RERA) and Dubai Land Department (DLD) for Agents and other concerned employees.
  2. Apply for Brokers Identity Cards (new, renewal, and cancellation) on Trakheesi Portal.
  3. Apply for “Property Permit” on Trakheesi portal to enable the advertisement process as per DLD & RERA rules.
  4. Approach Real Estate Developers to obtain NOCs and sign Brokerage Agreements as per Management’s instructions.
  5. Attend calls and inquiries from clients interested in dealing with Layan and assign them to the concerned Agent.
  6. Perform any other duties and tasks assigned by Management.
Qualifications:

Experience:

2 to 4 years of experience in an Admin Role, preferably in Real Estate in UAE.

Skills:

  1. Excellent command of English, both verbal and written.
  2. Excellent organizational skills and attention to detail.
  3. Advanced user of MS Office applications with excellent computer skills; customer service oriented.
